We are seeking a highly organised and experienced administrator to become a key player in our small but fast growing accountancy practice. This is an essential role within our team and we are looking for someone who is keen to get stuck into all areas of practice administration.
The successful candidate will be responsible for managing administrative and office functions, onboarding clients, AML checks, front of house, and ensuring the smooth running of the practice.
This role offers an excellent opportunity for individuals with a background in administration , executive assistant and financial roles. The Practice Administrator will play a key role in maintaining high standards of client service and operational efficiency.
The role can be part time or full time worked over a minimum of 4 days with the possibility of one day per week hybrid after completion of training for the right candidate however due to the nature of the role office based days will be required. Free parking a short distance from the office is provided.
Responsibilities
Oversee the day-to-day administrative operations of the practice, ensuring efficiency and high standards of customer service
Work alongside the office manager to ensure that all clients are onboarding effectively and efficiently
Manage financial tasks including compilation of spreadsheets using google sheets
Ensure accurate client records including requesting paperwork
Answer phone calls and act as front of house.
Assist in constant improvement of processes
Liaise with clients to address enquiries and ensure excellent customer service
Diary management for senior staff
Support office manager in strategic planning
Mailbox and CRM management
Document management including client correspondence
Social media experience is advantageous but not essential to the role
Requirements
Proven administrative background to a very high standard. Executive assistant or sales experience would be highly desirable.
Able to handle multiple tasks at one time
Work effectively in a fast paced environment with a number of computer systems and large number of ongoing tasks at any one time.
Fast learner
Highly trustworthy and able to deal with confidential data and understanding of GDPR requirements.
Experience in a financial setting such as an accountancy practice or department would be advantageous but not essential as full training will be given
Team player who is able to work in a key position in a small team and assist on a variety of tasks when required
Able to apply judgement to a situation and act in line with guidance independently
Excellent organisational skills with the ability to prioritise tasks efficiently to deadlines
Strong communication skills, both written and verbal
Ability to work independently whilst also collaborating effectively within a team
Proficiency in office software applications such as google suite
