Key Responsibilities for Private Client Legal Secretary Jobs

• Providing comprehensive secretarial and administrative support to solicitors and fee earners within the private client department, including preparation of legal documents, correspondence, and forms related to wills, trusts, probate, estate planning, and powers of attorney.
• Managing diaries, scheduling appointments, arranging client meetings, and coordinating with internal and external stakeholders to ensure efficient case progress.
• Handling incoming telephone calls, emails, and post, ensuring that all communications are dealt with promptly and professionally.
• Maintaining up-to-date client files and legal records, with a strong focus on accuracy, confidentiality, and compliance with regulatory requirements.
• Assisting with the preparation of court bundles and submissions for Court of Protection matters where required.
• Opening and closing client files in accordance with the firm's procedures and preparing bills as requested.
• Delivering excellent client service by communicating with clients in a sensitive, professional manner, often regarding complex or emotive private client matters.

Essential Experience & Skills for Private Client Legal Secretarial Roles

• Previous experience as a legal secretary or legal assistant, ideally within private client law or a similar legal department.
• Exceptional organisational skills and the ability to work effectively under pressure, managing multiple priorities and deadlines.
• Excellent written and verbal communication skills, with keen attention to detail and a high standard of accuracy in document production.
• Confident IT skills, including experience using case management systems, dictation, and Microsoft Office applications (Word, Excel, Outlook).
• Ability to work collaboratively as part of a team and independently with minimal supervision.
