is a leading Luxury Residential Interior Design practice working on high end Luxury Interior projects across the UK & Ireland.
We are seeking a highly organised
Procurement Coordinator
to support the successful delivery of interior design projects by managing the back-of-house procurement process.
This role is responsible for the accurate purchasing, tracking, and receipt of all FF&E, finishes, and materials across multiple projects. The Procurement Coordinator will work closely with the Operations and Design teams to ensure that all products are ordered correctly, delivered on time, and received into stock in line with project requirements.
Key Responsibilities : Procurement & Purchasing
Raise and manage
purchase orders
for FF&E, finishes, lighting, accessories, and materials
Ensure all orders align with approved
specifications, quantities, pricing, and lead times
Liaise with suppliers to confirm availability, production timelines, and delivery schedules
Maintain accurate procurement trackers and order documentation
Supplier & Order Management
Act as the primary point of contact for suppliers regarding orders, confirmations, and updates
Proactively chase outstanding order acknowledgements and delivery dates
Resolve discrepancies relating to pricing, quantities, finishes, damages, or shortages
Maintain up-to-date supplier information and records
Delivery, Stock & Logistics Coordination
Coordinate deliveries into
warehouse / storage / site
, ensuring correct booking and paperwork
Check all incoming goods against purchase orders and delivery notes
Log, report, and manage any damaged, missing, or incorrect items
Ensure goods are correctly recorded as received into stock
Internal Coordination
Work closely with the
Operations team
to support overall project delivery
Support Designers and Project teams with procurement status updates
Ensure procurement timelines align with project programmes
Maintain clear and accurate communication across internal teams
Systems & Process
Maintain procurement systems, spreadsheets, and trackers to a high standard
Support continuous improvement of procurement and order-control processes
Ensure all documentation is correctly filed and audit-ready
Skills & ExperienceEssential
Proven experience in
procurement, purchasing, or order processing
within interiors, FF&E, design, construction, or a related sector
Strong attention to detail and excellent organisational skills
Confident managing multiple orders across multiple projects
Clear and professional communication skills
Competent with Excel / Google Sheets and procurement tracking tools
Desirable
Experience working with
interior design or workplace fit-out projects
Knowledge of FF&E suppliers and lead times
Experience coordinating deliveries into warehouse or stock environments
Familiarity with procurement or project management software
