Role overview

Introduction to the role:

As Product Owner, you will be responsible for the iManage document management solution (DMS), ensuring it delivers maximum value to the business, enabling document lifecycle efficiency across the firm and addressing user needs. You will own the vendor relationships including performance management, maintain a deep understanding of the product roadmaps and relevant features, and ensure alignment with the firm's strategic goals. A strong grasp of application integration points is essential to support interoperability across systems.





Introduction to the team:

This role provides the opportunity to join a growing team within Hill Dickinson's IT function, focussed on developing best practices and a consistent approach to product ownership, improving user experience and delivering business value.

Key responsibilities:



Act as the primary subject matter expert for iManage DMS, providing guidance on best practices, functionality, and integration to maximise business value. Lead or support requirements gathering activities, ensuring clear and comprehensive documentation to guide product enhancements. Proactively engage with users to understand how iManage supports evolving user and client needs, aligning technology with business goals and capabilities. Collaborate with vendors to stay informed on product roadmaps, technology lifecycles, known issues, and upcoming releases relevant to the firm. Leverage product and technology adoption to streamline internal processes, enhance operational efficiency, and foster a culture of continuous improvement. Identify opportunities for automation and integration to enhance workflows Coordinate and participate in product testing to validate changes and ensure quality outcomes. Work closely with cross-functional teams including PMO, Architecture, Cyber Security, Finance, and Infrastructure to ensure alignment and integration. Drive user adoption and engagement, measuring total cost of ownership (TCO), business value, and enablement across the firm. Facilitate training sessions and create educational materials to promote understanding of iManage product features and benefits. Ensure there is appropriate documentation of the iManage application landscape, integration points, data models and data flows. Define and track KPIs for iManage adoption, performance, and ROI. Analyse and report actionable insights to leadership.

What are we looking for:

Important criteria:

+ Proven expertise in product ownership and lifecycle management for iManage DMS and related technologies, with a strong track record of delivering business value in legal or professional services.
+ Strong product management capabilities, including roadmap alignment, and stakeholder engagement across multiple business functions.
+ Vendor and contract management experience, including managing SLAs, escalations, and maintaining productive vendor relationships.
+ Excellent analytical and problem-solving skills, with the ability to interpret data, identify trends, and translate insights into actionable improvements.
+ Exceptional stakeholder management and communication skills, with the ability to influence and collaborate effectively at all levels of the business.
+ Experience driving user adoption and change management, including developing training materials and delivering enablement sessions.
+ Sound understanding of governance, compliance, and security considerations relevant to document and knowledge management systems.
+ High level of IT proficiency, including experience with integration concepts, APIs, and reporting tools such as Power BI.
+ Proactive and adaptable mindset, able to manage competing priorities and respond effectively to evolving business needs.
