The Production Office Manager will ensure the smooth, efficient, and well-organised running of the Production Office. This includes coordinating PPMs, supporting the Operations Manager, managing follow-through on actions from meetings, and producing daily PDDs (Planned Daily Deliverables) for every operative.
In addition, the role provides key support to the HR Director and Supply Chain Manager to ensure compliance with all Health & Safety, Integrated Management System (IMS) requirements and accreditation standards.
The production office manager will act as the organisational hub, ensuring clarity, accountability, compliance, and structure across the production environment.
Key Responsibilities
1. Production Team Coordination
Coordinate and support the daily workload of PPMs and the Operations Manager.
Ensure priorities, deadlines and production requirements are clearly communicated.
Maintain visibility of the production schedule, resource planning and upcoming workloads.
2. Action Tracking & Accountability
Attend production, planning, H&S and cross-department meetings.
Capture accurate minutes with owners, deadlines and required outcomes.
Maintain a live Action Log and proactively follow up to ensure completion.
Escalate delays, risks and non-compliance early to the Operations Manager.
3. PDD Creation (Planned Daily Deliverables)
Produce AM and PM PDDs for all workshop operatives.
Build PDDs using input from PPMs, Ops Manager, live changes and workshop needs.
Ensure each PDD includes all detail required.
Maintain archives of PDDs for planning, performance and audit purposes.
Compliance, H&S and IMS Support
4. Compliance & IMS Coordination
Provide administrative and organisational support for all compliance-related activities across Production.
Assist with managing, updating and maintaining the Integrated Management System (IMS), including ISO documentation (e.g., ISO 9001, 14001, 45001).
Help ensure production processes, checklists and records meet IMS requirements.
5. Health & Safety Support
Support the HR Director with H&S admin, documentation, meeting prep and follow-up.
Attend H&S meetings, toolbox talks, audits and reviews where needed.
Capture actions, assign ownership and track completion against deadlines.
Help ensure the production environment remains compliant with policies, training requirements and audit standards.
6. Accreditation & Audit Preparation
Assist in pulling together evidence, documentation and data for external audits and accreditations.
Coordinate with PPMs, Ops, Warehouse, Technical and HR to gather required documentation.
Ensure logs, registers and records (e.g., training, maintenance, inspections) are up to date and accessible.
8. Cross-Department Meeting Support
Attend IMS meetings, H&S committees, supply chain compliance reviews and relevant operational meetings.
Create and circulate clear action lists, deadlines and accountable owners.
Follow up to ensure timely completion and escalate when required.
7. Production Office Administration
Manage production boards, schedules, calendars, trackers and digital systems.
Maintain organised documentation, approvals, training records, timesheets and absence logs.
Support PPMs with project packs, load lists, manufacturing notes and procurement follow-up.
Produce summaries, reports and updates for Operations and Senior Leadership.
8. Communication & Information Flow
Act as the central communication link between Ops, PPMs, Workshop, Technical, Design, CSM, HR and Supply Chain.
Ensure information is accurate, timely and consistent.
Flag potential issues early: capacity, materials, compliance risks, drawing delays, etc.
9. Continuous Improvement
Identify inefficiencies in workflow, communication, PDD creation or compliance administration.
Support rollout of new templates, processes, checklists and organisational tools.
Promote a culture of clarity, accountability and process discipline.
Skills & Experience Required
Essential

Experience handling admin, scheduling or production workflows.

Comfortable working with digital systems (Microsoft Office, Google Workspace).
Ability to work with confidential compliance and H&S information.

Familiarity with Business Central or similar systems.
Experience in audit preparation or structured reporting.
