Who are we:
Oxford Prospects Programmes is a study abroad scheme, which promotes international academic exchange, primarily between higher education institutions in China and the UK.
What we are looking for:
We are looking for fun and energetic Programme Assistants to support academic courses across our Winter programmes.
The Role:
Programme Assistants will be responsible for the following duties including:
? In the weeks leading up to the course: attending a guided training session and if agreed helping with course preparation, e.g., packing and distributing welcome packs
? Working with "Programme Leads" who will act as your "manager on duty". Following their
instructions and devolved tasks as set out in the Daily Brief
? Meeting groups at airports and helping with college/hotel check-ins and check-outs
? Walking students between venues in Oxford
? Engaging with programme materials and structure, to inform your understanding of the student experience. Also providing you with the context to understand who the speakers are, their history with the University of Oxford and to introduce them accordingly.
? Ensuring that students know and understand the learning objective for each lecture, workshop and trip.
? Creating positive atmosphere for the students and getting to know them, e.g., talking to them during mealtimes and social events. It is an expectation that you eat with students during your paid lunch hours when food is provided
? Setting up AV equipment for sessions
? Meeting and greeting speakers in polite and courteous manner
? Introducing speakers to the students and making sure the event goes smoothly
? Attending lectures and facilitating discussions and Q&A sessions. Leading and participating in discussion groups
? Leading trips outside Oxford, e.g. London, Stratford-upon-Avon, Windsor and other destinations
? Acting as a point of contact for students, dealing with queries and referring any concerns to the appropriate member of staff
? Use WhatsApp to communicate with students, Programme Assistants, Programme Leaders and
OPP staff. Be contactable by WhatsApp during working hours in order to coordinate the student programme.
? Take responsibility for Student safety, and escalating health or safety emergencies to the
appropriate OPP or emergency services contact in proportion to the nature and scale of the event.
? Being responsible and professional on behalf of OPP when speaking with suppliers and their representatives e.g. Coach Drivers, tour guides, college events staff etc.
? Other similar duties as required, commensurate with the level of responsibility for the role. As delegated to you by either the Programme Leader or the Operations management
Requirements:
- Excellent communication skills, ability to explain things clearly and patiently
- Good knowledge of Oxford city, colleges, and main sights. Knowledge of Stratford-upon-Avon, Windsor, and London is an advantage
- Leadership skills, ability to be in charge while keeping a calm and positive manner
- Ability to set up and use basic AV equipment with instructions
- Good listening skills to receive and relay the instructions correctly
- Ability to work and cooperate with a team of colleagues
- Adaptability to changes and flexible approach to work
- Problem-solving skills with common sense
- Must be over 18 years old
- Must be able to commute or live in the Oxford area and to be punctual for all shifts. Shifts can start as early as 7:00 on some days.
- Must have a valid right to work in the UK
