TRICS is the system of multi-modal trip generation analysis for the UK and Ireland. Founded in 1989, It is a database system of almost 10,000 transport surveys covering a wide variety of development types, which is used for the production of trip generation, a fundamental stage in the preparation and development of Transport Assessments. Over 300 surveys are added to this database every year, with the data collection programme managed by the company. The TRICS system is the core product of TRICS Consortium Limited, and is widely used throughout the Transport Planning industry by consultants and local authorities. TRICS Consortium Limited also undertakes technical research, provides data from the system to non-members via its Bureau Service, and holds two annual user events.
Job Summary
This is a chance to join an established company within the Transport Planning industry (current annual turnover of 1.8 million), taking a key role as Project Administrator. The role will be responsible for undertaking a variety of administrative tasks necessary for the maintenance of the TRICS project, working with the Project Manager, the Managing Director and other members of the TRICS team.
Reporting to the Managing Director, and being part of the Management Team (which also includes the Managing Director and the Project Manager), you will have a good practical knowledge of Microsoft Office software (including Outlook, Word and Excel), working knowledge of Quickbooks accounting software, and substantial skills and experience in office-based technical and company administration. You should also have excellent numeracy, literacy, interpersonal, communicative and organisational skills, be able to multitask, show a high level of attention to detail, and have the ability to work in a team environment.
Tasks within Role
Administration of the TRICS project.
Undertaking regularly scheduled brief review meetings with the Company Finance Officer.
Undertaking any urgent financial administration actions if required and checking for incoming payments whilst the Company Finance Officer is on leave or not working (shared with the Project Manager).
Maintenance of annual data collection programme spreadsheets plus other monitoring spreadsheets.
Maintaining annually updated records of required supplier documentation.
Completion of supplier forms as and when requested by TRICS users.
Weekly checks of survey permissions progress and permissions emails folders.
Administration of invitations to tender, tender receipts, survey shortlists and regional commissions.
Managementg of data supply deadlines.
Administration of SAM (Standardised Assessment Methodology) survey commissions.
Maintenance and development of the TRICS Licensing System.
Additions and removals of TRICS user licences.
Management and delivery of TRICS User Events.
Maintenance and development of the TRICS website.
Management of TRICS Help Desk and allocation of user assistance requests.
Any other specific company/technical administrative assistance as and when required by the Managing Director.
