Project Administrator
We are looking for an experienced Project Administrator to join our busy office and growing team, based in Bolton. With over 15 years' experience in construction, joinery and shopfitting

This person will be working closely with the accounts and project teams to assist with ongoing projects.
The role will include working with project software (training provided), Microsoft Excel, outlook, Microsoft teams.
You will be highly organised and proactive Project Administrator to support the smooth running of our projects, scheduling, reconciliation and reporting processes. In this role, you will ensure projects are created and set up accurately, workflows run efficiently, and financial information is recorded and reconciled correctly. You will be a central point of coordination--maintaining clear communication across internal teams, clients and suppliers to enable seamless project delivery.
Key Responsibilities
Project Setup & System Administration
Create new jobs and work orders accurately within internal systems, ensuring all required details and documentation are complete.
Review and validate project briefs, escalating missing or unclear information when needed.
Maintain accurate project data throughout the job lifecycle.
Update job statuses and track workflow progress to ensure visibility across teams.
Workflow Coordination & Team Support
Monitor incoming work requests and support the allocation of tasks based on team capacity, capability and deadlines.
Collaborate with Project Managers and Account Teams to assist with scheduling, planning and prioritisation.
Working with the project team you will be raising purchase orders, ordering materials, booking accommodation and travel. Updating site information records. Working with site managers with planned projects and other tasks the role required.
Participate in daily/weekly planning meetings to support forward visibility of workload.
Provide clear, timely communication to stakeholders regarding priorities, changes and requirements.
Reconciliation, Invoicing & Purchase Order Management
Assist with project reconciliation, ensuring all time, costs and materials are accurately recorded.
Support invoicing by preparing accurate job data, documentation and cost breakdowns.
Manage purchase orders--raising POs, tracking spend, verifying supplier costs and invoices against approved values.
Liaise with Finance, Suppliers and Project Teams to ensure all necessary documentation is in place before invoicing.
Chase missing or incorrect financial information to prevent billing delays and support prompt project close-down.
Reporting & Operations Support
Generate system reports showing job status, workload volumes, resource utilisation and financial progress.
Maintain accurate data across workflow and reporting platforms.
Contribute to continuous improvement by refining processes, templates and ways of working.
Ensure workflow procedures are followed consistently across all teams.
Skills & Experience
Essential
Strong administrative and organisational skills with exceptional attention to detail.
Confident communicator able to engage professionally with colleagues, clients and suppliers.
Ability to manage multiple tasks and prioritise effectively in a fast-paced environment.
Able to work in a busy office environment.
Willing to work as part of a larger team and share duties as required for cover when required.
Proficient in Microsoft Office / Google Workspace and quick to learn new software
Previous experience in project coordination, project administration, resource planning or workflow support.
Understanding of cost tracking, purchase orders or invoicing.
Full UK driving licence with access to a vehicle.
