The Role
We are seeking an organised and detail-oriented
Project Administrator
to join our team. In this role, you will support project management activities, ensuring projects are delivered on time. You will coordinate internal resources, manage timelines, and ensure clear communication between stakeholders.
The ideal candidate will have excellent organisational and communication skills, with a passion for managing multiple tasks and working collaboratively in a fast-paced environment that adapts quickly to change.
Key Responsibilities
Project Planning & Scheduling
Assist with interpreting project handover information (pre-installation forms, project install packs, and sales orders) to aid in developing project plans and schedules for clients and installation teams.
Coordinate project timelines across multiple departments, ensuring tasks are completed on time for successful delivery and client satisfaction.
Team Coordination
Serve as a liaison between the Project Manager, team members, and other stakeholders with regular updates.
Facilitate communication and collaboration across teams to ensure smooth execution of projects.
Reporting & Documentation
Prepare regular project status updates and progress reports for stakeholders.
Maintain project documentation, including pre-installation forms, project install packs, and meeting notes.
Risk & Issue Management
Identify, track, and help resolve project issues or risks, escalating when necessary.
Escalate urgent and unforeseen issues (snagging items, order errors, urgent deliveries) to the Project Manager and wider departments for timely resolution.
Meeting Coordination
Organise and assist in facilitating project meetings, taking notes, and following up on action items.
Qualifications
Proven experience in project coordination or a similar administrative role.
Strong organisational and time-management skills, with the ability to manage multiple priorities.
Excellent written and verbal communication skills.
Ability to adapt quickly and overcome unexpected challenges.
Effective in a fast-paced, dynamic environment.
Strong attention to detail and problem-solving abilities.
