We are seeking a highly organised and proactive Project Administrator to join our Projects Division at the head office in Hillingdon. This role is essential in ensuring the smooth delivery of ongoing construction projects by managing day-to-day administrative tasks, coordinating workforce scheduling, tracking materials and invoices, and supporting weekly payroll processes.
You will work closely with site teams, suppliers, and senior management, acting as a key link between departments to keep projects running efficiently.
Key Responsibilities
General Administration
Maintain project documentation, filing systems, and compliance records.
Coordinate daily job allocations and communication to site teams.
Act as the main administrative point of contact for the Projects Division.
Timesheets & Payroll
Collect, review, and process weekly timesheets for all site operatives.
Liaise with the finance team to ensure accurate and timely payroll.
Address any discrepancies or payroll queries.
Materials & Procurement
Manage material orders based on project requirements and schedules.
Track deliveries, stock levels, and outstanding orders.
Work with suppliers to obtain competitive pricing and maintain good account standing.
Financial & Supplier Administration
Organise and record supplier invoices and purchases.
Support timely invoice approvals and payments.
Maintain supplier account information and help negotiate terms where required.
Project Coordination
Assist with resource allocation for labour, equipment, and materials.
Help update project programmes and schedules alongside project managers.
Prepare weekly progress and performance reports for divisional leadership.
Handover Documentation
Compile and organise O&M manuals.
Prepare project handover packs for completed works.
What We're Looking For
3-5 years' experience in a construction-based administrative role (essential).
Strong understanding of construction workflows and terminology.
Excellent communication and organisational skills.
Proficiency in Microsoft Office (Excel, Word, PowerPoint); experience with project software is beneficial.
Ability to multitask, prioritise, and work under pressure.
A proactive mindset with strong problem-solving abilities.
Confident working both independently and within a team environment.
