About the role

Balfour Beatty has a new & exciting opportunity for a Site Administrator to join our Power T&D team in: Crarae, Argyll and Bute area of Scotland.

Role Purpose:

  • Exciting project opportunity starting February 2024 in Crarae; the successful candidate will coordinate and assist the efforts of the Project Management, Engineering and Design Teams involved in the execution of specified projects.
  • Liaise with a wide range of internal stakeholders to ensure that all project processes and functions are supported to ensure timely and effective project delivery.
What you\'ll be doing
  • Maintain project action log including proactive action updates
  • In conjunction with the relevant Project Manager and Site Staff keep a up to date plant sheet recording all on-hire and off-hires. Updating the Plant sheet on a weekly basis and pass to Team Coordinator for input onto Oracle R12
  • Ordering plant and material from internal and external supplies arranging transport if required and liaising with Plant Desk if repairs/replacements are necessary.
  • Control of all Incoming and Outgoing Correspondence, Project Files, Standards Library, Design Log, Minutes of Meetings and other project related documentation.
  • Issue and maintain Site Start up Packs for Contracts
  • Prepare documents for close out of contract meetings and submit documents to client as required. Take meeting minutes as required by the Project Manager
  • Checking that all vehicles are allocated to the correct contract on a weekly basis
  • Ensure general health and safety is maintained and project related administration duties carried out in line with Business Management System as and when required
  • General duties for example: Minutes of Meeting, Photocopying and Scanning and any other ad hoc assistance as required by the company.

  • Proven record of delivering a reliable administrative service with a fast-paced environment.
  • High levels of IT Literacy
  • Energetic, positive person with a wish to solve problems and comply with procedures.
  • Adaptable and able to respond to change.
  • Self-starter capable of meeting tight deadlines
  • Good communication skills verbal and written
  • Highly organised
  • Good forward thinker and planner
  • Due to location a car owner driver would be desired.
  • Site based role: Full time; 42 hours; Monday to Friday.
