Project Co Ordinator

Birmingham, ENG, GB, United Kingdom

Job Description

Our Governance, Administration and Projects (GAP) department is a dynamic team with a varied portfolio of clients. They play a key part in providing our clients and members with a market-leading service to local authorities administering the Local Government Pension Scheme (LGPS).

We currently have an exciting opportunity to join this department as a Project Coordinator, within our Actuarial Public team in one of our four offices, on a full-time basis.

What will your role look like?

The successful candidate will assist project managers of various levels with the day-to-day management of a wide range of client projects across Governance, Administration and Project activities.

Though this is a varied role, your key tasks will include:

Planning and organising project meetings, including the production and distribution of meeting agendas, papers and project meeting minutes. Create and update internal team and project SharePoint sites/files; ensuring accurate version control procedures are maintained. Provide administrative assistance to senior project managers/project managers at project meetings, as directed. Ensure project deliverables/actions are progressed and completed within pre-agreed timescales through effective communication with all key stakeholders. Ongoing monitoring and maintenance of project documentation to ensure this provides an accurate picture of progress at any point in time and facilitates regular reporting. With guidance, create and develop project plans and other key project control documentation, based on known deliverables and timescales supporting GAP team projects. Own client billing processes, including the timely drafting and issue of client invoices for onward peer review. Possible management of less complex client projects with minimal assistance from senior project managers/project managers. Be flexible to travel to client meetings and other Hymans Robertson offices, should this be required.

To enjoy and succeed in this role, you will have:

Experience within a project coordinator (or similar) role. Experience within pensions or a financial services background is desirable. Excellent attention to detail, ensuring a high degree of accuracy in all client related communication (such as papers, agendas and emails). Proficient in Microsoft Office skills, including Word, Excel, Outlook, and PowerPoint. MS Project experience would be an advantage but is not essential. Strong communication and problem-solving skills. Strong time management, organisational and prioritisation skills to successfully meet deadlines and manage workloads. Experience of working with a wide range of project stakeholders, including third party suppliers and advisors. Ability to remain calm and continue to deliver client needs under pressure whilst able to adapt quickly to changing priorities.
We would also encourage applications from candidates who perhaps do not possess all the attributes and experience listed above but are competent with the majority and would be able to quickly develop the additional skills and experience required in post with our full support.

In addition to a competitive salary and access to our profit share scheme, we offer:

A flexible selection of employee benefits, so you can choose a package that best matches your lifestyle and needs. A collaborative and encouraging work environment where your thinking and ideas are encouraged. On site mental health and wellbeing assistance. A commitment to helping you develop both personally and professionally, with mentoring opportunities and access to our award-winning learning portal, Aspire. Regular social activities, in addition to three days paid volunteering leave each year and a day's leave to celebrate your birthday. Hybrid working so you can enjoy the positive wellbeing of working from home as well as the benefits of meeting colleagues in our sociable, modern office environments - with the expectation of two 'in-office' days per week. A flexible working window, allowing colleagues the freedom to work flexibly between the hours of 7am and 7pm.

Please note, we recruit on a rolling basis so early applications are recommended to avoid disappointment.

We work alongside employers, trustees and financial services institutions, offering independent pensions, investments, benefits and risk consulting services, as well as data and technology solutions.

That's the who and the what. More important is the 'why'. The work we do may not always seem the sexiest. But it's difficult, it's complex, and it's important. We help our clients, their employees, members and customers make decisions that have real and direct consequences on their financial futures.

For 100 years we've taken this responsibility seriously. Together, as a team and with our clients and partners, we're here to build better futures.
