Outline of role




To ensure the efficient and accurate control of warehouse stock, while managing supplier inbound bookings, coordinating transport logistics, and the ordering of equipment and supplies. The role supports smooth warehouse operations by maintaining inventory integrity, ensuring timely deliveries, and facilitating the availability of essential resources, all while upholding high standards of communication, organisation, and compliance.


Main responsibilities




Reporting to the Admin Team Leader, pivotal aspects of your role will include;


Coordinating the day-to-day inbound stock activity Managing and maintaining the WMS and stock inventory PI and stock count issue and investigation. Ordering equipment Arranging transport

Your fundamental responsibilities will include, but are not limited to;


Stock Control & Inventory Management


Monitor stock levels and ensure accurate records. Conduct regular stock checks and audits. Investigate and resolve stock discrepancies.

Inbound Supplier Bookings


Schedule and confirm deliveries with suppliers. Coordinate delivery times to avoid congestion and ensure smooth operations. Maintain accurate booking logs and supplier communication records.

Transport Coordination


Liaise with transport providers to arrange inbound and outbound shipments.

Ordering Equipment & Supplies


Identify equipment needs. Raise purchase orders and track deliveries. Maintain supplier relationships.

System & Data Management


Use warehouse management systems (WMS) software to update stock movements. Generate reports on stock levels, supplier performance, and transport efficiency.

Knowledge and skills required




Attention to Detail - Crucial for accurate stock records and booking schedules. Organisation & Time Management - Managing multiple suppliers, deliveries, and equipment orders. Communication Skills - Clear and professional interaction with suppliers, transport providers, and internal teams. Problem-Solving - Ability to resolve delivery issues, stock discrepancies, or equipment delays. IT Proficiency - Excel experience (Pivots tables, Lookups) Teamwork & Collaboration - Working closely with warehouse staff, suppliers, and logistics teams. Numeracy - For stock counts, order quantities, and reporting. Proactive attitude - Anticipates potential issues (e.g., delivery delays, stock shortages) and takes early action. Resilience - Maintains focus and professionalism under pressure.
