The Project Co-Coordinator will support the smooth delivery of projects from start to finish. This role ensures all administrative, scheduling, and compliance requirements are met, while providing day-to-day support to the Project Manager and wider project teams.
Key Responsibilities
Track all quote proposals and ensure job information is accurately created, saved, and maintained.
Raise purchase orders and set up jobs on the company's software system.
Monitor the status of all jobs and update records as progress changes.
Schedule engineers and subcontractors, coordinating diaries effectively.
Book hotels, travel, and meeting rooms for project teams.
Obtain quotes for materials and services for ongoing jobs.
Prepare Health & Safety and CDM documentation for site setups.
Plan and coordinate site setups, ensuring equipment, welfare units, and materials are in place.
Order and track hire equipment.
Produce Operation & Maintenance (O&M) manuals.
Monitor and report on project spend, providing bi-weekly updates to the Project Manager.
Track call-backs and warranty jobs, reviewing with the Project Manager.
Liaise with Accounts on job invoicing stages (deposit, application, full).
Support applications and invoicing processes.
Manage and track project engineers' training requirements.
Ensure compliance is maintained throughout the project lifecycle.
Undertake safety audits for projects.
Resolve invoice queries and discrepancies.
Arrange and coordinate project team meetings.
Skills and Experience
Essential
Previous experience in project coordination, administration, or a similar support role.
Strong organisational and time-management skills.
Excellent attention to detail and accuracy.
Confident in MS Office and project/job management software.
Clear and professional communication skills.
Ability to prioritise and work under pressure.
Desirable
Experience within engineering, construction, or building services.
Knowledge of H&S, CDM, and compliance documentation.
Familiarity with financial processes (invoicing, purchase orders).
