About the Calanais Visitor Centre
At the Calanais Visitor Centre, we are committed to preserving, researching, and sharing the rich archaeological heritage of the Calanais Standing Stones. Our vision is to create an outstanding visitor experience while maintaining a deep connection between the site, the community, and the wider world. As we embark on a transformative redevelopment, we are looking for an organised co-ordinator to join us in delivering the redeveloped site.
Role Purpose
The Calanais Visitor Centre is undergoing an ambitious 10.1 million redevelopment and will reopen in early 2026 as a world-class, 5-star visitor attraction and a thriving community hub.
The Project Co-ordinator will play a key role in supporting the Project Board and Team throughout the redevelopment of the Calanais Visitor Centre, with a focus on facilitating project management tasks, stakeholder liaison, and ensuring the smooth operation of day-to-day project functions. The role will be integral to the team's success, assisting with the execution of key tasks leading up to the Centre's official opening in 2026.
The Project Co-ordinator will manage multiple administrative functions, such as co-ordinating board meetings, producing board papers and reports, supporting policy creation and compliance management, co-ordinating procurement activities, managing website content and liaising with key stakeholders and external partners. The position requires someone who is highly organised, proactive, and capable of working under pressure while maintaining attention to detail.
Requirements
Key Responsibilities:
Administrative Support
:
Provide administrative support to the Project Board, including managing busy diaries arranging meetings, and ensuring efficient day-to-day operations.
Prepare and organise materials and documentation for meetings, ensuring accurate records are kept
Take and circulate minutes at meetings, tracking actions and ensuring follow-through.
Produce and maintain an action log for the board and project team, ensuring smooth communication and clarity of tasks.
Policy and Compliance Management
:
Assist in the creation, amendment, and implementation of compliance policies, ensuring the project meets legal, financial, and operational standards.
Maintain documentation related to health and safety, data protection, and other compliance policies.
Stakeholder Liaison
:
Act as a point of contact for stakeholders, including partners, local government, suppliers, and consultants, ensuring effective communication across various project teams.
Virtual Assistant Duties
:
Provide ad-hoc support as required, including virtual assistant duties for the Project Board, assisting with travel arrangements, correspondence, and logistics.
Support timely communication and coordination with relevant teams and external parties.
Other Tasks
:
Provide general administrative assistance and support in various aspects of the project, including event co-ordination, documentation management, and handling confidential information as required.
Be pro-active in identifying areas of improvement for the project administration process and suggest efficiency enhancements.

Qualifications:
Essential

An appropriate further education/vocational qualification or equivalent experience in project management, business administration, or a relevant field.
Experience in administrative roles within a project or business environment, preferably with exposure to project management functions.
Desirable
:
Experience in the cultural or heritage sector, particularly with projects involving redevelopment or public sector funding.

Proven experience in administration, project co-ordination, and executive support.
Experience with budget management, diary management, and document preparation.
Experience in preparing reports and handling board-level documentation.

Prior experience in stakeholder engagement or liaison with external partners, including government bodies, contractors, and consultants.
Exposure to the cultural or heritage sector or similar environments that require cross-team collaboration and coordination.
