Purpose of Role


We are seeking a highly organised Project Coordinator to join our team supporting a major government contract based at Whitehall, London. This is a unique opportunity to work within a secure environment, supporting a portfolio of projects that include the development of new room facilities, replacement of critical equipment, and renewal of ageing assets.


This role is integral to ensuring the highest standards of compliance and governance are met. You will provide essential coordination and administrative support to Project Managers, ensuring that all project documentation, reporting, and compliance records are in place and accurate.



Due to the nature of this contract, applicants must be sole UK nationals and capable of obtaining Developed Vetting (DV STRAP) clearance. Candidates can commence employment once SC clearance (typically 3-4 weeks) is granted, though full duties will be limited until DV clearance (6-9 months) is achieved.

Responsibilities


Support Project Managers in planning and delivering estate-related projects. Ensure project documentation, governance packs, and compliance paperwork are maintained to the highest standard. Coordinate meetings, agendas, minutes, and follow-up actions. Process project stages through internal systems, raising and tracking work orders - Maximo CAFM. Liaise with suppliers, contractors, and internal stakeholders to ensure timely delivery of works and invoices. Monitor project progress, escalate risks, and ensure adherence to government compliance frameworks.

Essential Qualifications/Skills


Previous experience as a Project Coordinator, Project Administrator, or PMO Coordinator. Strong organisational skills with excellent attention to detail. Experience within facilities management, estates, government, or highly regulated environments preferred. Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, MS Project). Excellent communication skills with the ability to engage stakeholders across multiple teams. Proactive, solutions-driven, and able to work under pressure in a fast-paced environment.
