Job Overview

How You Will Make An Impact:



Assist in maintaining and improving project control processes and QA/QC procedures. Conduct regular audits and reviews to ensure compliance with quality standards. Provide support to project managers (PMs) in day-to-day project activities. Assist in the preparation and maintenance of project schedules and plans. Utilize your experience in a construction or facilities setting to support project execution and management. Establish and maintain project folders and file management systems. Perform sharing audits to ensure proper access and security of project files. Manage GSuite setup for project-related activities. Record and distribute meeting minutes as requested or required. Assist in the ISA/FSA process for onboarding new vendors and owner direct contractors Facilitate the creation and processing of Statements of Work (SOW) for new vendors and owner direct contractors. Support PMs and Architects/Engineers (AE) with permit submissions through local online environments Assist PMs with invoicing processes and resolve any related issues. Handle access requests for project-related activities. Support vendor teams in onboarding TVCs on site through Smart Track and initial machine setup Review SOWs and other documentation for formatting and standardization. Coordinate project meetings between key stakeholders and vendors. Help coordinate purchase order (PO) information from PMs to ensure timely execution of POs to key vendors. Track and follow up on open project action items to ensure timely completion. Assist in plotting and acquiring drawings as needed for page turns, meetings, etc., under the direction of PMs. Gather support drawings to facilitate the transition of projects from concept to design. Set up impacted document registers (IDRs) for project documentation management. Upload as-built drawings to the customer's internal tools and systems.

What You Will Need To Succeed:



Minimum 3 years experience as a Project Coordinator. Proven experience in a construction or facilities environment. Strong organizational and multitasking skills. Proficiency in GSuite and other project management tools. Familiarity with permit submission processes and local online environments. Excellent communication and interpersonal skills. Detail-oriented with a focus on quality and compliance. Ability to travel up to 10% as required.
