Project Co-ordinator



Responsible for providing project coordination, acting as an essential liaison point to ensure delivery of a wide range of initiatives and priorities. Overseeing tasks at each applicable stage throughout the lifecycle of projects, including coordination of resources, equipment, meetings, and making sure critical information is shared among multiple teams, with the goal of effective completion of projects on time and within budget. Participating in meetings and documenting minutes and actions and following up to ensure all project related tasks are completed and staying on track. On completion of the project, looking at the lessons learnt and communicating continuous improvement opportunities across the department. Supporting the Project Manager in training and development of junior team members and supporting in the administrative tasks that are required. Provide sales support to BIOS-IT with order processing and operational coordination.

Key Responsibilities



Serve as a primary liaison between customers, account managers, and internal teams to support seamless project delivery.

Provide comprehensive administrative and project management assistance to the Project Manager.

Collaborate with team members, understanding their roles to foster effective teamwork and timely project execution.

Maintain and update project documentation, including plans, communications, and progress tracking against key milestones.

Attend and document meetings throughout the project lifecycle, capturing key decisions and action items.

Coordinate necessary resources, equipment, and materials to ensure project success.

Manage and communicate project schedules, ensuring all teams are aligned and tasks are completed on time.

Proactively arrange and lead meetings to address project risks or issues that may affect timelines, budgets, or customer satisfaction.

Follow up on meeting action items, gather feedback, and distribute outcomes to stakeholders.

Work closely with the department manager to achieve project goals and meet performance KPIs.

Execute operational tasks in alignment with internal processes to uphold quality standards.

Assist the Project Manager in conducting post-project reviews, identifying issues, and recommending process improvements.

Prepare and archive project analysis reports.

Support the BIOS-IT sales team by processing orders efficiently and providing operational coordination.

Assist in onboarding and training junior team members under the guidance of the Project Manager.

Skills & Experience



Essential



Strong written and verbal communication skills

Effective problem-solving abilities

Excellent time management and organizational skills

Proficient in IT and project management tools

Strong interpersonal skills with a collaborative mindset

Minimum 2 years of experience in order processing

Ability to remain calm under pressure

Desirable

Familiarity with Microsoft Teams, SharePoint, and document management systems

Knowledge of operational procedures

Project management experience or qualifications
