Role Overview



We are seeking a Project Coordinator to support the delivery of mechanical projects from award through to completion. Working closely with the Mechanical Projects team, site engineers, consultants, and subcontractors, the role plays a key part in ensuring projects are planned, coordinated, and delivered efficiently.

The position is focused on practical project delivery, supporting planning, communication, labour coordination, and documentation across multiple projects. This is an excellent opportunity to join a growing Mechanical Projects division within a business that delivers work using an in-house model and values control, quality, and teamwork.

Key Responsibilities



Project Coordination & Administration



Support the coordination of mechanical projects from commencement to completion. Assist with project set-up, ongoing administration, and project close-out. Maintain accurate project records, trackers, and documentation.

Site File Set-Up & Documentation



Set up and maintain site files in line with company procedures and statutory requirements. Ensure all required documentation is in place, up to date, and available on site. Assist with document control, including drawings, specifications, and technical information.

Programme & Planning



Build, maintain, and update project programmes and schedules of works. Monitor progress against programme and highlight risks, delays, or constraints. Support sequencing of works to align labour, materials, and subcontractor activities.

Labour & Subcontractor Coordination



Assign and coordinate in-house labour in line with project requirements and programme. Organise, schedule, and manage subcontractor attendance on site. Act as a key point of coordination between site teams and the projects office.

Procurement & Ordering



Raise purchase orders for materials, plant, and subcontracted works in line with company procedures. Track orders and deliveries to ensure materials arrive in line with programme requirements.

Communication & Consultant Liaison



Liaise with consultants, clients, and design teams regarding project progress and coordination matters. Assist with issuing progress updates and supporting responses to technical queries. Support the organisation and recording of project meetings where required.

Health & Safety Support



Support the project team in ensuring works are delivered in accordance with company health & safety procedures. Assist with the preparation and coordination of RAMS, permits, and site safety documentation. Help ensure site files remain compliant and audit-ready throughout the project lifecycle.

O&M Manuals & Project Close-Out



Assist with the preparation and collation of Operation & Maintenance (O&M) manuals. Coordinate the collection of as-built drawings, test certificates, warranties, and commissioning information. Support smooth project handover at completion.

Technical Support



Assist with coordination of drawings and technical documentation. CAD experience would be welcomed but is not essential; support and training can be provided.

Key Measures of Success



The Project Coordinator will be successful in the role when they demonstrate:

Well-organised projects with site files correctly set up and maintained. Accurate and actively managed project programmes. Effective coordination of labour, subcontractors, and materials. Clear, professional communication with consultants and site teams. Timely preparation of O&M manuals and handover documentation. Proactive support to Project Managers and site teams, reducing delays and last-minute issues.

Skills & Experience



Essential



Experience within a mechanical, building services, or construction environment. Strong organisational and coordination skills. Good written and verbal communication skills. Ability to manage multiple tasks across several projects. Proficient in Microsoft Office (Word, Excel, Outlook).

Desirable



Experience working with project programmes or schedules of works. Experience coordinating labour, subcontractors, or procurement. CAD experience (AutoCAD or similar).

26,000 - 30,000
