Ensure Zahra Trust's global fundraising and marketing operations are structured, scalable, compliant, and aligned. This role manages all campaign and donor-facing delivery, standardizes systems across markets, enforces rigorous QA, and ensures that real-time output reflects stakeholder direction and strategic vision. The Global Project Manager is central to Zahra Trust's ability to consolidate fundraising and marketing operations in existing regions and scale effectively into new ones.

Campaigns and fundraising operations are standardized, timely, and QA-verified
Systems (Asana, SharePoint, Canva, Teams, etc.) are consistently used and enforced across teams
Stakeholder input is captured early and reflected in campaign execution
Global market expansion is supported by scalable, replicable processes
Delays, blockers, or misalignment are flagged and resolved early
The Chief Development Officer and Chief Operations Officer have visibility into all fundraising and marketing delivery activity, including execution status, risk areas, and resource capacity
Fundraising & Marketing Project Management
Coordinate execution across all fundraising and marketing streams:
Monthly giving
Legacy giving
HNWI giving
Annual campaigns (Ramadan, Muharram, Giving Days)
Lead generation
Donor journeys and stewardship
Reporting for major donors and grants
Operate Scrumban for Marketing and Waterfall for Fundraising; refine or evolve systems as needed
Consolidate campaign operations across Zahra Trust's UK, US, and CA markets into one unified process
Build reusable systems to enable future campaign rollouts in new regions
Ensure every campaign is scoped with clear owners, timelines, dependencies, and deliverables (RACI)
Drive proactive planning cycles 2-3 months ahead of launch for all campaign streams
Standardization & Scalability
Standardize Asana project templates, SharePoint file structures, and Canva asset libraries across all campaigns and departments
Identify inconsistencies in current systems across Zahra Trust markets and implement a unified operational model
Build replicable processes that enable campaign delivery across new countries and donor markets
Develop reusable QA checklists, approval workflows, and asset handover protocols that scale with growth
Stakeholder Management & Cross-Functional Liaison
Act as the central production liaison between Marketing, Fundraising, Programs, Legal, Finance, and IT to ensure interdependencies are well managed.
Actively gather stakeholder needs and translate them into tasks, timelines, and deliverables
Resolve conflicting needs between departments or priorities through early escalation and structured feedback loops
Book syncs, reviews, and cross-department meetings when blockers arise
Ensure no campaign or strategy goes live without relevant department input and final approval
Serve as the key point of contact for Zahra Trust's fundraising agency and all creative/execution vendors
Establish campaign check-ins, approvals, and syncs to keep projects aligned with stakeholder direction
4. Systems Governance and Version Control
Build and manage campaign workspaces in Asana: task tracking, approvals, dependencies, and automation
Organize and enforce SharePoint and Canva folder structures, naming conventions, and version logs
Ensure all creative assets are stored, archived, and retrievable across teams and campaigns
Train internal staff on how to follow platform standards and workflows
Compliance, Governance & Campaign Planning
Implement workflows for legal, financial, and Shariah approval for all marketing and fundraising efforts
Maintain documentation, compliance, and approval audit trails for every campaign and market
Build a long-range campaign calendar that aligns Islamic and Gregorian milestones across markets
Ensure market-specific adaptations are scoped, reviewed, and launched on schedule
Build and manage workflows for internal and external approvals, including:
Shariah board and religious oversight
Financial reconciliation and donor reporting
Legal disclaimers, privacy, and consent
Maintain clean documentation of sign-offs, final assets, and rationale
Ensure campaign compliance with GDPR, CRA, UK Charity Commission, PCI, and internal risk standards
QA & Output Integrity
Maintain and expand detailed QA checklists for content, functionality, data accuracy, and brand integrity
Monitor campaign readiness and enforce final sign-offs before launch without compromising timelines or strategy
Implement a high-integrity QA process covering:
Brand voice and design standards
Responsiveness, accessibility, and Shariah compliance
Maintain creative and reporting version control across platforms
Ensure no asset is released without required legal, financial, or programmatic approvals through establishing appropriate workflows.
Market Consolidation & Growth Enablement
Identify workflow gaps or inconsistencies across Zahra Trust's current fundraising markets
Standardize execution to reduce duplication and inefficiencies
Design replicable campaign templates and reporting systems that can scale with Zahra Trust's entry into new regions
Work with stakeholders to assess delivery capacity, surface growth blockers, and inform go-to-market readiness
Support go-to-market readiness in new regions by mapping campaign requirements, local adaptations, and resource needs ahead of regional launches
Reporting & CDO Visibility
Provide daily updates to the Chief Development Officer
Summarize blockers, pending sign-offs, and milestone status
Track KPIs related to project throughput, turnaround time, and QA success
Prepare monthly campaign performance dashboards sourced from Asana and SharePoint
Candidate Requirements
5+ years project management with ideally experience in fundraising, marketing, or nonprofit sector
Demonstrated success supporting organizational growth and scaling
Expert-level experience in Asana, SharePoint, and Microsoft365 Workspace
Familiarity with fundraising and donor communications lifecycle
Experience managing internal and external stakeholders across functions and regions
Proven ability to systematize complex workflows and enforce version control
Confident operating in fast-paced, faith-based, cross-cultural environments
London-based, full-time in-office role with flexibility for hybrid upon request
