Position Summary




As

Project Specialist, GSO EMEA / Assistant to the Vice President of Global and National Sales EMEA

you will play an integral role in supporting the execution of strategic priorities, projects, and operations across the GSO EMEA team. Reporting to the VP, GSO EMEA, this position supports a broad range of activities including project coordination, internal communication, financial processes, meeting planning, and stakeholder engagement across multiple geographies. You will also manage administrative functions for the VP and remote-based associates, while helping to align the team's workstreams and goals. This role involves high levels of collaboration, cross-discipline communication, and multitasking, making it ideal for someone who is highly organized, proactive, and passionate about operational excellence.

Core Responsibilities



Project & Business Support



Coordinate and manage assigned projects and partnerships within GSO EMEA. Provide administrative and operational support for cross-functional initiatives and strategic programs. Develop and maintain reports, presentations, and dashboards; monitor program compliance and ensure timely execution of deliverables. Assist in managing key relationships and communication with GSO leadership, GSAs, and stakeholders across disciplines. Own and maintain organizational charts, team tracking systems, and internal communication platforms.

Administrative Support



Provide executive administrative support to the VP, GSO EMEA including travel coordination, calendar management, expense processing, and internal logistics. Coordinate meetings, internal events, and conferences, including room bookings, catering, agenda planning, and minutes. Maintain team resources, supplies, and processes that enhance operational efficiency. Support onboarding of new associates, including system access, materials preparation, and team integration.

Financial Operations & Reporting



Manage entity and rental agreement processes across 10 countries, supporting SLA execution, payroll coordination, and invoicing. Oversee the P&L and budgeting processes across 20+ budget lines as guided by the VP, GSO EMEA. Coordinate franchisee and GSA tracking, annual commission contracts, and budget alignment activities. Collate, analyze and report sales production data and budget performance.

Communication & Engagement



Develop internal communications such as newsletters and leadership updates. Act as liaison between EMEA GSO and corporate teams to ensure consistent messaging. Represent the GSO team in meetings, resolve inquiries, and manage correspondence. Support team culture and engagement through the coordination of events, recognition, and communication platforms.

Candidate Profile



Education and Experience:




College degree and/or relevant experience in business, project coordination, or administration.

At least 2 years of experience in hospitality, sales, or travel industry preferred. Experience supporting leaders in a multi-market, matrixed, or global office environment. Proficient in Microsoft Office Suite (Excel, Word, PowerPoint); knowledge of collaboration tools (e.g., SharePoint, Teams).

Skills and Competencies:



Strong organizational, time management, and project coordination skills. Excellent verbal and written English communication; additional languages a plus. High attention to detail and commitment to confidentiality. Ability to manage multiple workstreams and deadlines simultaneously. Strong interpersonal skills, able to collaborate across departments and functions. Experience in data reporting, budgeting, and presentation development. Previous experience managing logistics, meetings, and team coordination.
