We are looking for a highly motivated, driven Projects Coordinator to be the operational backbone of our installation team. This is more than an admin role--it's about proactively managing variables, solving logistical puzzles, and ensuring critical projects hit the finish line flawlessly. What You'll Tackle
We need you to own the flow and solve the blockers for every project:
Logistical Command:
Coordinate and schedule engineers, subcontractors, and complex delivery chains, ensuring the right people and parts are on-site at the precise moment they are needed.
Rapid Problem Resolution:
Act as the central communication hub (between clients, suppliers, and site teams) to anticipate, identify, and rapidly resolve logistical and scheduling challenges that arise mid-project.
Progress Ownership:
Proactively track site progress against tight timelines, providing clear, concise updates to management and clients.
Financial Guardianship:
Actively assist with project cost control, identifying efficiency improvements throughout the project lifecycle.
Process Excellence:
Produce, maintain, and audit critical documentation (RAMS, job files, reports) to ensure every project is compliant and runs smoothly.
Stakeholder Management:
Be the confident, reliable voice of Green Cooling when communicating scheduling, access, and key project updates to our high-profile clients.
Supplier & Inventory Mastery:
Manage complex supplier relationships, track critical lead-times, and process purchase orders and invoices efficiently.
We're Looking for a Champion Who...
Possesses 1+ years of proven experience in project coordination or high-level administration.
Is a natural organiser and detail hawk who can manage competing priorities without dropping the ball.
Thrives in a fast-paced, high-stakes environment and views managing multiple, concurrent jobs as an exciting challenge.
Is a clear, confident, and professional communicator adept at managing expectations with clients and suppliers.
Has strong IT fluency (especially in Excel and general project management tools).
Experience with Xero Accounting software is a strong advantage.
Sector experience (HVAC, M&E, Construction, or Refrigeration) is a bonus, but your attitude and aptitude for problem-solving are the most critical factors.
