Providing administrative support and assistance to the Property Managers and Management.
- Provide administrative support to the office
- Deal with high volumes of email, telephone and face-to-face enquiries efficiently, in a professional and friendly manner
o Deal with incoming/outgoing (standard) mail
o Match prospective tenants to suitable properties and securing viewings
o Check Answerphone and respond to messages
o Organise viewing diary
- Liaise with landlords, tenants, contractors and our lettings team throughout the above via email and phone calls
- Advertise properties on relevant property websites
o Regularly update property list and office window displays
- Deal with Council tax bills and update local authorities about changes in tenancies/apply for discounts
- Deal with Utility bills and update suppliers about changes in tenancies
- Make up Landlord Brochures
- General Office administration as per management instructions
o Filing/Scanning
o Stationary/Office Supplies stock check
- Greeting clients/tenants
- Updating the system (SME) on a daily basis to monitor and maintain property records
- Ensuring that the company policies are upheld at all times whilst carrying out your duties
- Promoting company mission and philosophy to all prospective and current landlords and tenants
- Building up strong relationships with all parties to gain trust and to keep the reputation of the company as the best in the local area
- Ensuring compliance with PropertyMark (formerly ARLA) and company code of conduct at all times.
