Charlton Haynes is a thriving family owned property company involved in the acquisition, development, improvement, management and disposal of commercial, industrial, residential and retail properties. The portfolio is diverse both in type and location with approximately 200 properties within the ever-expanding portfolio.

Job Function:



To work with our RICS Property Director, you will need the ability to build effective working relationships at all levels, operating with high integrity and diplomacy, you will be dependable and resilient with a positive, can do attitude.

The role involves all the administrative challenges of supporting a business, handling diverse projects and programs.

To carry out property administrative activities and services so as to maintain and supervise the portfolio of properties to achieve the highest levels of service in accordance with companies agreed business standards.

Person Specification:



To have a broad interest in different areas of the property industry, with a specific interest in commercial, industrial and office sectors of the Real Estate market.

You must have excellent organisational and communication skills; you will be a strong administrator with effective office management skills. The role is multi faceted and would suit an individual who thrives on variety and responsibility, but appreciates the necessity for key tasks and schedules. Competent and IT literate, you must be reliable and flexible, able to simultaneously keep track of all activities whilst retaining an eye for detail.

The role requires a professional, hardworking and honest individual who is looking to become a key member of a small team. Highly organised, competent with both the attitude and aptitude to get things done. Holding the ability to demonstrate a logical, common sense approach, you will be at ease working on your own with strong problem-solving skills and reliability.

An effective communicator both verbally and in writing; who can respond with diplomacy, structure and clarity. Friendly demeanour and positive outlook.

Qualifications:



Ideally educated to degree level; or established/proven experience in similar position/environment as required by the position. RICS accreditation or working towards it would be beneficial but not essential. Experience within the property industry; including facilities and contract management. Ideally with experience / understanding of legal regulations and leases. Strong literacy and numerical skills. Competent in Microsoft Office; word, excel. Experience in Xero Accounting Software would be beneficial.

Main Duties:



Working with the Accounts & Office Manager to be the first point of contact for tenants & suppliers; taking calls and handling emails.

Responsible for the day to day management of the portfolio of properties and thereby the relationship between the Company, suppliers and Tenants.

Integral to the provision of a full cycle Property Management service to a geographically varied portfolio. Including; property viewings, lease deals, site inspections, acquisitions, assisting with budgets, managing works and build projects, dilapidations, issuing legal notices and dealing with contractors.

Site inspections; circa 1 or 2 days a week on the road (mileage paid).

Supplier Management:

- Ensuring works and contracts are being carried out to the standards required and within agreed timescales.

- Liaising and keeping track of contractors working on various renovation, refurbishment, build and repair projects across the portfolio, whilst minimising disruption to tenants.

- Management of site provisions & services.

Tenant Management:

- Meeting new & prospective tenants both on and off site; assisting with & handling viewings, lease signing and key handovers.

- Carrying out end of term property checks, dilapidations and key returns.

- Compilation, issuing and management of Lease's, Licences, and other associated documentation.

Involvement in building maintenance planning & scheduling.

Keep up to date property records on company IT systems.

Regular researching of places and property.

Working with the Directors and the Property Director on projects as required.

To undertake any other duties within reason as directed by the Directors.

Job Types: Full-time, Permanent

Pay: From 34,000.00 per year
