Property Manager
Hours: Full-time, Monday to Friday from 9:00 - 18:00
Location: Hybrid -- 3 days in our Oxford office (OX2 0DP) + 2 days WFH; regular site visits across Oxford and periodic visits to Coventry
Start: Within 2 weeks

About Us

We manage co-living and shared homes for students and professionals. We're scaling and need an independent Property Manager who has run similar portfolios end-to-end and can take ownership from day one.

Scope of Portfolio

Oxford: up to 125 rooms (primary focus)
Coventry: up to 25 rooms (lower frequency, planned visits) and remote handling

The Role



You will own the day-to-day performance of the Oxford portfolio and support Coventry. Expect on-site visits every 2-3 days per week in Oxford (cadence may increase around move-ins/outs, inspections, compliance or maintenance). Coventry visits are scheduled, less frequent, and coordinated around operational need.

Responsibilities

Tenant management: handle all enquiries and complaints, set expectations, close the loop with documented outcomes but not limited to drafting new tenancy paperwork, right to rent checks, payment collection and so on. Rent & arrears: monitor ledgers, follow the arrears process, maintain accurate records with Finance. Inspections & standards: plan and execute property inspections; enforce cleanliness, safety and presentation; evidence with photos and logs. Compliance: keep every property HMO/legal-compliant (EICR, EPC, Gas, fire, alarms, deposit protection, prescribed information) with up-to-date folders. Maintenance & contractors: scope jobs, instruct and supervise trades, verify completion and quality, control costs, and keep audit trails. Check-ins/outs & inventories: run smooth move-ins/outs, manage keys and lockboxes, complete inventories and dilapidations properly. Emergency response: participate in the on-call rota and resolve urgent issues decisively. Backlog clean-up (first 30 days): normalise files, keys, compliance, and property data; implement simple, repeatable systems. (Extra bonus for this) Coventry support: plan visits, clear task lists efficiently, and report status and risks after each run. Continuous improvement: work with the founder to tighten processes, SLAs and evidence standards across the portfolio.
What You'll Need

Proven and hands-on property management experience in co-living/HMO or similar multi-unit settings. Independent operator mindset: you organise your week, prioritise correctly and don't need hand-holding. Confident with tenants and contractors; comfortable making calls on site. Operational discipline: photos, logs, checklists, and compliance records without chasing. Problem-solver with urgency and calm under pressure. Driving licence and regular access to a vehicle (mandatory). Availability to start within 2 weeks.
