About the Role



We are looking for a proactive and detail-oriented Property officer to oversee the day-to-day operations of our residential property portfolio. Based primarily around Nottingham, this dynamic role combines both fieldwork and office-based responsibilities, ensuring properties remain compliant, tenants are well-supported, and all administrative processes run smoothly. Whether you're completing on-site inspections, arranging urgent maintenance, or updating certification records, you'll be an essential part of our mission to provide safe, secure, and well-managed homes.

Core Responsibilities



Property Inventories and Inspections (Weekly)



? Conduct routine and check-in/check-out inspections across all properties.

? Record the condition of furniture, fixtures, and fittings using inventory software or

templates.

? Identify and report damage, wear, or unauthorised alterations.

? Ensure timely photographic records are logged and filed

Property Compliance & Safety Checks



? Test and log fire alarm functionality (weekly/monthly).

? Conduct routine water supply and Legionella compliance checks.

? Check property security, including locks, alarms, and external access.

? Ensure smoke alarms, emergency lighting, and other safety systems are maintained.

Tenancy Management



? Support tenant referencing and background checks.

? Manage onboarding process including signing tenancy agreements and conducting move-in

handovers.

? Address tenancy queries, renewals, and notices.

? Maintain clear and compliant tenant records.

Maintenance Coordination



? Receive and respond to maintenance requests from tenants.

? Liaise with approved contractors to organise repairs and follow-up visits.

? Track job progress, update maintenance logs, and ensure timely resolution.

? Monitor repeat issues and raise with management for further action.

Incident Management



? Respond to and record tenant or property-related incidents, including break-ins, leaks, pest

control, or anti-social behaviour.

? Coordinate appropriate follow-up actions with contractors, emergency services, or housing

partners.

? Ensure accurate incident reporting and secure recordkeeping.

Utility Management



? Record meter readings for electricity, gas, and water.

? Ensure supplier details are updated with each new tenancy.

? Resolve billing discrepancies and follow up on account changes or payments.

Property Certification Management



? Track expiry dates for required certificates (Gas Safety, EICR, Fire Risk Assessment, etc.).

? Book inspections/tests and ensure documents are uploaded and stored correctly.

? Liaise with contractors and compliance partners as needed.

Rent Collection &Billables Support



? Support the finance team by collecting cash or receipts when required.

? Monitor rent arrears and assist with issuing reminders or notices.

? Log payment updates and liaise with housing benefit providers where applicable.

Stock and Supplies Management



? Monitor and order stock for property maintenance, furnishings, and cleaning.

? Maintain a central stock record and assist with reordering cycles.

Key & Access Control



? Maintain key logs for all managed properties.

? Track issued keys and retrieve them at the end of tenancies or maintenance visits.

? Manage access codes for key safes, post boxes, and communal entries.

Property Advertising



? Prepare vacant properties for advertising (cleaning, staging, basic repair).

? Capture and upload high-quality photos.

? Create engaging and accurate property listings for web platforms and internal systems.

Office & Administrative Tasks



? Carry out general office-based duties including filing, scanning, and recordkeeping.

? Organise and archive tenancy agreements, certificates, and inspection forms.

? Maintain and update property and tenant data on our internal database.

? Assist the wider team with admin overflow, printing, and equipment ordering.

Communication & Coordination



? Answer calls, emails, and messages from tenants, contractors, and team members.

? Use WhatsApp, Slack, or other messaging tools to maintain clear, prompt updates.

? Handle sensitive conversations with discretion and professionalism.

Ad Hoc Tasks



? Assist in covering reception or incoming queries during busy periods.

? Support with cleaning and light property preparation when needed.

? Help coordinate community events, property viewings, or inspections with partners.

? Participate in regular team meetings and contribute to process improvements.

What We're Looking For



? A strong multitasker with excellent attention to detail

? Confident communicator - both on the phone and in person

? Flexible, proactive, and able to work both independently and as part of a team

? Comfortable using digital systems and keeping digital records

? Full UK Driving Licence and access to a reliable vehicle

? Basic property maintenance knowledge (desirable, but not essential)
