you'll be the go-to person for keeping our property projects, maintenance and compliance running smoothly, while also supporting our senior leadership team. From managing contractors and tracking compliance schedules to coordinating board papers and ensuring our leaders have what they need to make informed decisions, this role offers variety, visibility and real impact.
You'll work across small to mid-scale property projects, providing structure, organisation and insight to ensure we deliver safe, compliant and well-maintained environments. About you:

You're highly organised, practical and enjoy seeing things through from start to finish. You can handle shifting priorities with calm and confidence, whether that's chasing a contractor, preparing a board pack or coordinating an inspection schedule.
You'll be confident using Microsoft 365 (especially Excel, SharePoint and Teams) and comfortable liaising with a wide range of people--from contractors and tenants to senior stakeholders across the UK, China, Hong Kong and Canada.

Key Responsibilities:

Projects and property operations
Act as the main contact for tenant queries, maintenance requests and general property enquiries.
Log, triage and progress maintenance jobs, raise POs, instruct contractors and chase through to completion.
Schedule and support routine inspections, check ins and check outs, including inventories and meter readings.
Maintain compliance schedules and records, for example gas safety, EICR, EPC, fire safety, HMO where relevant, legionella and insurance documents.
Coordinate planned and reactive works, obtain quotes, track budgets and ensure quality of workmanship.
Build simple project plans, risks, budgets and status updates, and chase actions to deadlines.
Procure quotes, raise POs, track spend and reconcile invoices with finance.
Schedule and minute contractor meetings, maintain drawings, O&M manuals and asset registers.
Arrange access, keys, permits and site inductions, and maintain before and after photo records.
Update the property management system and shared files with accurate notes, documents and photos.
Support arrears and rent queries by providing timely information to finance and property managers.
Prepare and issue standard letters, documents and reports, for example welcome packs, move out instructions and compliance trackers.
Liaise with landlords, tenants, university departments and external partners to keep everyone informed.
Assist with onboarding of new properties, including data capture, keys management and supplier setup.
Monitor Cambridge area contractor availability and lead times, escalating risks early.
Contribute to continuous improvement of processes, templates and service standards.
Executive support
Manage complex diaries, inbox triage, meeting logistics, itineraries and travel.
Prepare board packs, briefings and presentation materials, capture actions and follow up.
Draft correspondence, policies and simple reports, ensuring version control and confidentiality.
Support internal communications, maintain document templates and update shared files.
Essential Requirements:

Degree in a relevant discipline.
Experience coordinating property, facilities or project work.
Proven senior administrative or EA experience.
Excellent organisational, written and verbal communication skills.
High attention to detail and accuracy.
Strong Microsoft 365 skills.
Good understanding of property compliance or a fast learner with evidence of picking this up quickly
Desirable Requirements:

Experience in Cambridge/university estates or student accommodation.
Familiarity with compliance (gas, EICR, fire safety, legionella, EPC).
Experience maintaining asset registers or O&M manuals.
Experience creating simple dashboards or trackers, for example Excel or SharePoint lists
Full UK driving licence.
Mandarin Chinese speaking ability to liaise with international colleagues.
