Job Description

Dodd Group is looking to recruit a Proposal Manager to join our family run growing business.

The Proposal Manager is responsible for the end-to-end management of the tender - ensuring that all submissions are of the highest standard, fully compliant, and tailored to meet client requirements. This role is central to Dodd Group's ability to win and support the following divisions within Property Services:

Property Care Facilities Management Independent & Supported Living Retrofit & Building Services Projects

Key Responsibilities:



Proposal Management:

Lead and coordinate the preparation, development, and submission of high-quality, compelling proposals and tenders. This includes writing, managing timelines, assigning SME responsibilities, peer reviews, and ensuring all documentation is accurate and submitted on time.

Collaboration:

Work closely with Directors, Operations Managers, Estimators, Commercial team, and subject matter experts to gather technical, commercial, and operational input for each submission. Foster a collaborative approach to ensure proposals reflect Dodd Group's collective expertise and capabilities.

Content Development:

Draft, review, and refine written content, ensuring clarity, compliance, and alignment with client expectations. This includes for your assigned division: Management structures, CVs of key personnel, latest KPIs, Case Studies (emphasis on evidence, innovation, social value, H&S etc.) and evidence of accreditations and competencies.

Compliance and Quality Assurance:

Ensure all proposals adhere to client specifications, industry standards, and legislative requirements (e.g., Health & Safety, Equality & Diversity, Data Protection). Maintain up-to-date knowledge of relevant regulations and best practice.

Resource Coordination:

Liaise with Estimating & Operational leads to confirm the availability and suitability of proposed personnel, including contract managers, supervisors, engineers, and support staff. Ensure that all staff certifications and training records are current and included in submissions. Flagging gaps and inaccuracies to relevant staff. Provide detailed organisational charts and demonstrate how central and regional management will support contract delivery.

Continuous Improvement:

Work with the Bid Manager to analyse feedback from previous bids, identify areas for improvement, and implement best practice processes to enhance future submissions. Work with the Knowledge Manager to maintain a library of standard responses, case studies, and evidence to streamline the bid process.

Clarifications:

Work alongside the Bid Coordinator and Bid Manager during the bid process, responding to queries and clarifications promptly and professionally.

Essential Skills and Experience:



Proven experience in managing bids and proposals, ideally within the construction, FM, or M&E sectors. Exceptional written and verbal communication skills, with the ability to convey complex technical information in a clear and persuasive manner. Strong project management and organisational skills, able to manage multiple deadlines and priorities simultaneously. High attention to detail and a commitment to producing work of the highest quality. Ability to work collaboratively across departments and build effective relationships at all levels. Proficiency in Microsoft Office and bid management software.
