Proposals Coordinator

Location: Falkirk Office

Reports to: Head of Business Development

Contract: Permanent, Full-Time

About the Role

We are seeking a highly organised and detail-oriented Proposals Coordinator to join our growing team. This critical role is responsible for compiling and delivering high-quality proposals, technical information, and pricing documents for submission to clients. The successful candidate will work closely with multiple departments -- including Technical, Operations, Contracts, and Business Development -- to ensure the accuracy and completeness of our proposals.

Key Responsibilities

Compile and coordinate all elements of customer proposals, ensuring accuracy, detail, and clear presentation of our full capabilities. Gather and integrate information from Technical, Operations, Contracts, and Business Development teams. Develop strong working relationships across departments to facilitate the efficient flow of information. Prepare pricing sheets, technical submissions, and proposal documentation tailored to customer requirements. Engage directly with customer Procurement and Engineering teams in a professional, customer-facing manner. Maintain and update proposal templates, capability statements, and related marketing materials. Undertake other sales and business development-related tasks as required, providing flexible support to the BD team. Ensure all submitted documentation meets internal quality standards and customer expectations.
Skills and Attributes

Exceptional attention to detail and a methodical approach to work. Highly organised, with the ability to manage multiple proposals simultaneously to tight deadlines. Strong communication skills, both written and verbal. Confident and assertive when working across multiple teams and engaging with customers. Proactive, self-motivated, and flexible with a positive approach to problem-solving. Ability to work effectively under pressure and adapt to changing priorities.
Experience and Qualifications

Previous experience in a proposals, sales support, or technical documentation role (essential). Knowledge of or experience within the Non-Destructive Testing (NDT) industry (preferred but not essential). Experience working in a customer-facing capacity, particularly with Procurement and Engineering teams. Strong IT skills, including Microsoft Office (Word, Excel, PowerPoint) and CRM systems. Familiarity with technical terminology and documentation (desirable).
