We are looking for a Publicity Assistant to join the Pan Communications team. This is an exciting opportunity for a self-motivated individual to join an award-winning publisher, with an opportunity to work directly with some of the biggest authors in the industry.



Your team:



Pan is the biggest division of Pan Macmillan. Our imprints include Macmillan (Fiction and Non-Fiction), Tor, Mantle, and Macmillan Business, and we publish a fantastic range of market-leading fiction and non-fiction. This role sits within the dynamic, fun and award-winning Communications team. You will work on titles across all our imprints, so no two days will be the same.



Your role:



The Publicity Assistant will be responsible for supporting the Pan Publicity team and their publicity campaigns, and ensuring the smooth running of the department, reporting to the Communications Director. You will play a vital role in our department by providing essential administrative and logistical support. There will be the potential to manage your own publicity campaigns after a short period in the role.


Please note that flexibility is required for this role, as the nature of author events, tours, and media opportunities will include occasional evening and weekend work.

Your key responsibilities:



Provide critical administrative and logistical support for the Communications Director and the wider team, managing diaries, coordinating key author and divisional meetings, and ensuring the smooth running of the department. Support high-profile publicity campaigns by assisting with author travel bookings, campaign administration, and attending occasional author events or interviews to ensure successful delivery. Manage and track all press coverage, including logging clippings, collating bi-annual catalogues, and pulling together monthly and seasonal round-ups to inform journalists. Coordinate book mailings and maintain departmental resources, including the timely sending of finished copies, managing paperback review coverage, and efficiently handling correspondence as the first point of contact for external queries. Take a proactive approach to exploring and leveraging digital tools and AI to streamline routine tasks and increase workflow efficiency. Manage financial administration by assisting in tracking budgets and processing invoices to ensure accurate and timely payments.

Essential experience, abilities and knowledge you'll need to succeed:



Administration:

Excellent administration skills with the ability to organise, prioritise, and manage workflow.

Communication:

Effective written and oral communication skills.

Organisation:

Ability to prioritize tasks and projects while maintaining exceptional attention

to detail.

Industry knowledge:

A demonstrable passion for books and the publishing industry, particularly Pan's list.

Curiosity:

A proactive willingness to learn new skills and processes, coupled with a genuine interest in seeking out diverse perspectives and a deeper understanding of the market.

Community:

An aptitude for teamwork and collaboration, with the ability to act as a supportive, professional main point of contact for colleagues and external partners, contributing to an inclusive environment.

Integrity:

A high level of accountability, honesty, and professionalism when managing critical administrative processes, confidential information, and essential publishing data.

Software/tools:

Experience working with systems and tools such as MS Office, Adobe Creative Cloud, Google Workspace, and Biblio.

A practical understanding of visual design.

This is a full time, permanent role, and will be based in our offices in Farringdon, London, with some flexibility to work from home each week.
