Diffusion Alloys is a UK-based specialist in high-performance metal coatings, supporting industries such as clean tech, hydrogen, and power generation. From our Middlesbrough site, we manage the coating of complex customer components used in harsh environments around the world.
We are seeking a reliable and well-organised Purchasing and Sales Administrator to support the daily running of our operations. This is a great opportunity for someone with strong administrative experience to step into a varied, hands-on role supporting both production and logistics.
Purpose of the Role
To support the business by managing sales order and purchase order administration, assisting with customer communications, and coordinating the movement of goods. The role acts as a key point of contact between production, customers, and suppliers, helping ensure everything flows smoothly and on time.
Key Responsibilities
Sales Admin & Customer Support
Document customer sales orders and delivery notes into CRM and file system
Prepare commercial invoices and packing lists for outbound logistics
Track progress of jobs and keep customers updated on delivery status
Answer customer queries and coordinate with the production team
Purchasing & Stock Control
Raise purchase orders for consumables and parts
Track deliveries, check pricing, and chase suppliers when needed
Help maintain basic stock control (e.g. monthly counts, spreadsheet updates)
Liaise with the technical and production team on upcoming needs
Logistics & Shipping Admin
Book collections with couriers and freight companies
Prepare shipping labels, customs paperwork, and ensure correct documentation is included
Maintain tidy records of imports and exports
Support correct use of commodity codes and shipping terms (training will be provided)
General Admin Support
Update and maintain internal spreadsheets and filing systems
Assist with scanning, printing, and quality documentation
Support the team with occasional tasks relating to audits or compliance
What We're Looking For
Essential
Previous admin experience in an office or operations environment
Highly organised and reliable with good attention to detail
Good written and verbal communication skills
Proficient in Excel, Outlook and general MS Office
Comfortable speaking with customers and suppliers on the phone and by email
Willingness to learn new systems and processes
Desirable
Familiar with Incoterms, import/export VAT treatment, and basic customs regimes (e.g. IPR)
Experience with logistics or order processing
Familiarity with purchase order systems (e.g. Sage 50, Paperless)
Exposure to basic stock or inventory systems
Previous experience in a manufacturing or technical setting
