Role Summary:




Reporting to the Senior Management Team, you will oversee the day-to-day activities of the Purchasing and Logistics department (team of 3) in a distribution environment in a largely static supplier base with one major supplier. Your main focus will be on maintaining the right stock levels, ensuring smooth supply chain operations, and keeping costs under control. You'll work closely with other teams to make sure our inventory is well organised and our processes run efficiently.



This role suits someone who is good with data, enjoys problem-solving, and can build strong working relationships. You'll use Microsoft Excel frequently to create reports and analyse data (using functions such as lookup and reference functions as a minimum), so proficiency in this area is key.

Main Responsibilities




Manage daily purchasing enquiries (e.g. prices, stock availability, deliveries) and respond promptly.

Use company systems (MRP) to keep stock levels balanced, avoiding excess or outdated stock.

Work with other departments to resolve stock issues and ensure accurate records.

Oversee logistics for products coming in and going out, aiming for timely and cost-effective deliveries.

Help improve processes for forecasting and stock management.

Update supplier prices and product details on our systems.

Support regular stock takes and make sure records are up to date.

Prepare reports on key metrics and suggest improvements.

Attend departmental meetings to review performance and identify areas for improvement.

Build good relationships with Sales, Warehouse, and Workshop teams.

Understand import procedures and HMRC reporting requirements, including commodity codes and the associated VAT and Duty implications.

Assist with basic HMRC reporting and customs audits as needed.

Monitor levels of suppliers performance to raise and resolve issues.

Support compliance with packaging, waste, and environmental reporting.

Contribute to team development, including training and performance reviews.

Manage your team holidays, sickness, and other HR-related matters within the department.

Key Skills & Experience




ESSENTIAL - Advanced Excel skills (lookup and reference functions).

Minimum CIPS Level 4 qualified; CILT Level 4 is a plus.

Experience managing a large number of products in a fast-moving distribution environment.

Commercially aware, with a focus on product availability and stock control.

Experience working with suppliers and managing relationships.

Forecasting and supply chain management.

Organised, methodical, and a strong team player.

Able to work independently and prioritise tasks.

Experience with Sage 200 is helpful.

A basic knowledge of import procedures and HMRC requirements, including commodity codes, VAT, and Duty is helpful.
