Job Description

To manage the end-to-end quoting and procurement process for reactive maintenance works, ensuring accurate costings, supplier efficiency, and timely turnaround to support operational delivery and client needs.

Key Responsibilities

Quoting

Review incoming job requirements/specifications, surveys, and SORs to prepare accurate and competitive quotes. Liaise with engineers and subcontractors to scope works and determine labour and material requirements. Use internal rate cards to produce quotes aligned with margin targets. Submit quotes within SLA timelines and follow up with clients where required.

Procurement

Source and procure materials, equipment, and subcontractor services at the best value. Maintain preferred supplier lists and negotiate terms and pricing with vendors. Raise POs and track deliveries to site. Work with engineers to ensure timely availability of parts to avoid job delays.

Commercial & Reporting

Ensure margin, mark-up, and compliance standards are met in all quotations. Track quote conversion rates and procurement KPIs. Support budget monitoring and reporting on cost savings and procurement performance.

Collaboration & Process

Work closely with operations, finance, and delivery teams to align quoting and procurement with job planning and invoicing. Help improve procurement and quoting systems and workflows (e.g., software use, templates, automation). Stay informed on market rates, inflation, and FM industry trends.

Required Skills & Experience

Experience in quoting, estimating, or procurement roles within FM, construction, or M&E services. Strong commercial acumen and cost control awareness. Excellent attention to detail and organisational skills. Comfortable working at pace and juggling multiple tasks. Strong Excel and quoting/procurement software skills
