The Opportunity

We are seeking a Reception and Database Assistant to join our friendly and committed team. This is a key role at the heart of our diocesan office, combining front-of-house reception duties with the management of our online contact database.
You will be the first point of contact for visitors and callers, providing a warm and professional welcome, while also ensuring the accuracy and efficiency of our contact management systems.
Key Responsibilities

Reception and Hospitality
Welcome visitors and manage access to the building
Handle telephone and email enquiries with professionalism, care, and discretion
Manage bookings and set-up for meeting and training rooms
Coordinate catering and hospitality for meetings
Process incoming and outgoing mail
Liaise with service providers (IT, cleaning, postal, etc.)
Maintain office supplies and manage stock levels
Support colleagues with basic IT issues and equipment tracking
Database Administration
Maintain and update the online diocesan directory
Ensure data accuracy and integrity, working closely with HR and other departments
Process updates following parish meetings and diocesan elections
Support parishes with annual returns and statistics
Provide training and support to database users across the diocese
Participate in national database forums and reporting initiatives
General Administration
Assist with mailings and administrative projects
Provide cover for colleagues during absences
Participate in annual reviews and professional development
Contribute to the wider mission and work of the Diocese
