Role Overview



The Receptions & Facilities Co-ordinator for Student Accommodation is responsible for delivering a warm, welcoming, and people-first experience for student residents, visitors, and stakeholders. As the first point of contact within the building, the Receptions & Facilities Co-ordinator plays an important role in shaping the day-to-day resident experience and supporting the smooth operation of the building.

Working closely with the on-site Building Manager, and service partners you will support front of house operations, respond to resident needs, and help maintain a safe, well-managed, and engaging student living environment. You will demonstrate Ethos Farm's commitment to best-in-class guest experience through proactive service, clear communication, and genuine care for residents.

Key Responsibilities



Front of House & Resident Experience



Provide a warm, friendly, and professional Ethos Farm welcome to all residents, visitors, contractors, and stakeholders. Act as a visible and approachable FOH presence, greeting residents as they enter and exit the building and engaging in positive day-to-day interactions. Deliver consistently high standards of customer service, ensuring residents feel supported, listened to, and respected. Respond to resident enquiries, requests, and feedback promptly, escalating to the Building Manager or relevant service partners where required. Encourage two-way communication with residents to support continuous improvement of the resident experience. Ensure the front desk and FOH areas are presented to a high professional standard at all times.

Building Operations & Facilities Support



Support the Building Manager with day-to-day operational tasks and front of house activity as needed Proactively observe and report building issues, risks, or concerns in line with agreed processes. Assist with contractor access and on-site coordination, including directing contractors to relevant areas such as plant rooms, studio spaces, and flats. In urgent maintenance situations, assist by assessing and reporting issues to support timely resolution.

Student Accommodation-Specific Responsibilities



Carry out room viewings for prospective student residents. Support room readiness ahead of new resident move-ins. Assist residents with minor in-room issues where appropriate (e.g. heating controls, windows, lockouts). Enter flats when required and appropriate to support residents and assess reported issues. Support temporary solutions for resident issues, such as offering alternative rooms where facilities are unavailable.

Deliveries, Parcels & Administration



Manage and coordinate deliveries, post, and courier services. Scan, log, and track a high volume of resident parcels using the parcel tracking system. Upload and manage reactive maintenance jobs on the CAFM system. Maintain accurate records and contribute to weekly reports. Support the implementation of new systems, training, and technology to enhance service delivery. Maintain a spreadsheet on student's key losses, damages, kitchen fails and other incident which gets sent to QMUL finances monthly. Maintain and record incidents on KX (QMUL student portal).

Community, Engagement & Communication



Build strong knowledge of the local area and student-focused amenities. Liaise with university partners and promote university-led events to residents. Create posters and building communications to keep residents informed. Support resident engagement initiatives and activities that encourage community and wellbeing. Demonstrate interest in social impact and community engagement aligned with Ethos Farm values.

Requirements



Excellent customer service skills with a friendly, professional, and solutions-focused approach. Strong communication and interpersonal skills, with the ability to engage effectively with student residents and stakeholders. A proactive mindset, comfortable taking ownership within the scope of the FOH Host role. Computer literate, with experience using CAFM systems, reporting platforms, and Microsoft Office. Strong written English skills for resident communications and reporting. A team player with a people-first approach and a commitment to delivering best-in-class guest experience. Flexible and adaptable to the needs of a student accommodation environment.

Skills & Experience



Previous experience in front of house, customer service, hospitality, or student accommodation. Experience logging maintenance issues and supporting facilities or building operations. Ability to manage multiple tasks and prioritise effectively in a busy environment. Experience supporting events, community initiatives, or student engagement activities is desirable.
Job Type: Full-time

Pay: 13.05-14.09 per hour

Expected hours: 42.5 per week
