We are looking to recruit an individual who is experienced in working within primary care as a receptionist to join our team here at Bramhall Health Centre.

Main duties of the job



This role serves to provide support and development to the Reception Team at Bramhall Health Centre. You will be experienced and able to perform all reception duties and work with the team to complete daily workloads, however you will be recognised as Team Lead for your duties to provide direction, training and support for the team. You will be the first port of call for queries, staff training needs and simple patient complaints. You will also be responsible for the smooth operations of reception, ensuring that stock levels and paperwork are ordered and available when necessary. You will have a weekly 1-2-1 meeting with the Office Manager who oversees the teams rotas, annual leave requests and Return to Work Discussions. Therefore, this is not a managerial role however it requires you to be able to provide leadership, multitask, prioritise and work well under pressure. You will be able to nurture a positive staff culture and create a friendly, inclusive environment that promotes a professional and dignified healthcare setting where patients are at the heart of everything we do.

Administrative responsibilities will be to manage the practice emails and portal as well as disseminate any updates on policies and systems. You will also be required to support the practice management team with proactive recall for financially incentivised contracts which bring income into practice. These contracts change annually and so the projects may differ slightly, however most would usually involve sending invites or phoning patients to book annual reviews, sending questionnaires and processing the returns, coding and/or data collection for quality improvement projects.

About us



We are a practice consisting of 12,000 patients with a team of 36 staff, including doctors, nurses, health care assistants and the non-clinical team. We are based in the lovely village of Bramhall, close to the shops and the train station which is situated nicely for commuting and for accessing local amenities whilst travelling to and from work, or visiting on break times.

There is limited free parking for staff which you may be able to access and all staff can benefit from the NHS Pension Scheme.

Job Responsibilities



1. Team Lead



To understand the current workload demands of the team and prioritise accordingly To provide direction and delegate responsibilities within the team To provide training for all staff according to the competency framework To answer staff queries and provide solutions to booking issues To manage patient complaints which can be resolved verbally To provide cover during team absences To foster a positive, professional and dignified culture which promotes care, respect and teamwork To report to the Office Manager on a weekly basis, reviewing the teams target data and statistics To manage practice emails and portals, including Healthtech1 registrations

2. Administration



To have a thorough knowledge of all Practice procedures. To work in accordance of written protocols Registrations Online Access Applications Read coding and Summarising Recall and Quality Outcomes Framework activity Local Commission Scheme Framework Activity PCN/IIF Activity

3. Reception



Answering the phones to help patients with queries related to appointments, test results and general enquiries Supporting the online triage on a daily basis Receiving patients at the front desk who need assistance with booking in and general enquiries Handing completed repeat prescriptions to patient and checking names and address. Taking deliveries and notifying the person responsible for the delivery Pulling/filing notes for surgeries and update as necessary Filing post in medical records Completing Emis and Docman tasks as directed Completing Triage Admin on the days rotad in to support the duty GP allocate appointments and manage communications Correct handling and labelling of biological samples

4. Other Tasks



Ensure building security have thorough knowledge of doors/windows/alarm. Any other tasks allocated by managers

They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately In the performance of the duties outlined in this , the post-holder may have access to confidential information relating to patients and their carers, Practice staff and other healthcare workers. They may also have access to information relating to the Practice as a business organisation. All such information from any source is to be regarded as strictly confidential Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data

Health & Safety:



The post-holder will assist in promoting and maintaining their own and others health, safety and security as defined in the Practice Health & Safety Policy, to include:

Using personal security systems within the workplace according to Practice guidelines Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks Making effective use of training to update knowledge and skills Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards Reporting potential risks identified
