Job Description

Jo Jo's Day Care Nursery are looking for a highly motivated, hardworking, and fun administrator to join our team.

Jo Jo's Day Care Nursery, situated in Canterbury, just 10 minutes' walk from Canterbury East Train station. The 80-place nursery consists of three individual rooms for 3 mths-2 yrs, 2 yrs -3 yrs and then 3.5 yrs+.

Purpose of Role:



You will be responsible for delivering the highest level of customer service internally and externally by carrying out day to day administrative tasks to deliver a seamless service. This will also include incoming enquiries, by telephone, email or social media in a prompt and professional manner. To also provide effective administrative support to management within the main reception area of the setting.

Key Tasks and Responsibilities:



Managing the reception area including welcoming customer & guests.

Managing company correspondence, including phone calls, emails, letters and packages.

Organising meetings, scheduling appointments, and managing the director's diary.

Proactively support manager when offering new nursery places, upselling extra sessions, and managing changes in booking patterns

Support parents with financial queries or concerns, offering solutions where possible.

Performing data entry roles, including documenting invoicing, billing and updating records.

Managing inventory of office and site supplies, stationery, and multimedia equipment to ensure smooth office and site operations.

Adhere to organisational policies and procedures.

Ensure EyWorks system is up to date.

Creating and managing simple social media content, to positively promote the businesses.

Make effective and efficient use of systems and contribute suggestions and ideas on how to improve system performance.

Responsible for the collection of monthly invoice debt.

Control and administrator tasks relating to funding and headcount, working in partnership with our funding team.

Ordering weekly food shopping.

Attend and contribute to local authority training sessions.

Attend and support nursery open days/events, training and staff meetings.

Experience Essential:



Experience in a customer service setting. Either in-person or by telephone and demonstration of outstanding customer service skills.

Ability to make independent decisions based on information and data

Should be able prioritise and work in a fast-paced environment

Exceptional organisational skills

Strong computer skills to manage daily responsibilities - Word, Excel, PowerPoint, Data Entry

Maintain confidentiality in accordance with GDPR

Experience Desirable:



Previous experience of working in an Early Years administrative role

Knowledge Desirable:



Basic understanding of Safeguarding and Child Protection

Basic understanding of wider legislative requirements for working with children

Skills and Competencies Essential:



Strong communication skills both written and verbal

Strong computer skills to manage daily responsibilities - Word, Excel, PowerPoint, Data Entry

Self-starter and someone who has attention to detail

Skills and Competencies Desirable:



Child Protection

Genuine desire and passion for ongoing learning and development

Experience of accounting management systems or customer relationship management systems

Qualifications Essential:



Extensive experience of Microsoft office packages including Excel, Word, PowerPoint

Qualifications Desirable:



Level 2 and above in Administration, Customer Service or Business Admin
