Job Title: Receptionist / Administrative Assistant
Location: Nazareth House Care Village, Belfast
Contract Type: Zero Hours
Pay: 12.31 per hour
Expected Hours: As required by rota
Reports to: General Manager
Job Purpose
To serve as the first point of contact for all visitors, residents, staff, and callers--maintaining a warm, tidy, and secure reception environment. This role also supports the wider team with light administrative duties and record-keeping, contributing to the smooth operation of the Care Village.
Key Responsibilities
Reception & Front Desk Duties
Greet all visitors in a courteous, warm, and professional manner, ensuring they sign in and out.
Answer and transfer calls promptly, stating the organisation name and capturing accurate messages when necessary.
Maintain a clean and welcoming reception area--includes early morning vacuuming and removal of expired flowers or literature.
Offer refreshments to visitors and bereaved families when required.
Ensure the reception area is never left unattended during shift hours.
Secure the reception area in the evenings: lock doors, switch off lights, close windows, and draw curtains in line with security protocol.
Administrative Duties
Record resident admissions, discharges, and transfers as directed by nursing staff.
Notify health trusts of hospital admissions/discharges within 24 hours.
Sort and distribute incoming mail and newspapers; manage outgoing and internal post.
Cancel newspaper deliveries as needed (e.g., during resident hospital stays).
Prepare documentation including letters, spreadsheets, posters, tables, and checklists.
Maintain up-to-date fire evacuation lists for all residents.
Coordinate the delivery of medical samples with maintenance staff.
Maintain confidentiality and manage sensitive information securely at all times.
Report faults in office equipment and keep the workspace tidy and functional.
Financial Handling
Securely manage small cash transactions (e.g., Mass cards, raffles).
Follow procedures for money handling and accurate recording.
Supplies & Invoicing
Receive deliveries, confirming items match orders.
Process service dockets and invoices for approval by the General Manager in line with organisational policy.
General Responsibilities
Uphold Nazareth House's values of care, dignity, and respect in all interactions.
Ensure compliance with health and safety and attend all mandatory training (e.g., fire drills).
Demonstrate discretion, professionalism, and initiative in all duties.
Attend team meetings and engage in continuous professional development.
Perform any additional duties reasonably requested by the General Manager or senior staff.
Requirements
Experience:
Previous experience in reception or customer-facing roles is preferred, ideally within a care or healthcare setting.
Skills & Competencies:
Excellent communication and telephone manner.
Good organisational and administrative skills.
Basic proficiency with Microsoft Office (Word, Excel, Outlook).
Warm, friendly, and professional presence.
Reliable, discreet, and proactive.
Fluent in spoken and written English.
Right to work in the UK.
