Meeting and greeting clients and visitors to the service and notify the appropriate member of staff.
Taking initial client contact details in an outpatient setting.
Acting as an initial point of contact and deal with telephone enquiries from external agencies, clients and other members of staff in a professional and sensitive manner, communicating messages where necessary, without delay to the appropriate individual.
Processing incoming and outgoing correspondence and distribute accordingly without delay, in accordance with Trust policies and procedures.
Making telephone bookings as requested (for example: clinic appointments, meeting rooms, patient/staff travel).
Providing responsive administrative support to the Admin Team, including duties such as copy typing, photocopying, e-mailing on behalf of the team, sending and distributing faxes, filing etc.
Timely inputting of referrals and discharges on to the computerised clinical record system.
Inputting staff annual leave/sickness and absences on the computerised record system.
Routinely liaise with the Clinical team to send out appointment letters and medical staff to produce correspondence for service users GPs.
Collecting information as requested and to input into the Trust Electronic Record System and any other data systems in use by the service, as required by the role in an accurate and timely manner, adhering to Trust and Directorate deadlines.
Archiving and retrieving records according to the daily needs of the service.
You'll learn the following whilst working at the trust:
1. An in depth understanding of the roles and responsibilities involved in working within the NHS
2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times
3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation
You'll have the following skills/experience:
Ability to demonstrate experience of using Microsoft Word, Excel, Outlook and Power Point documentation.
Good organisational skills in order to maintain efficiency.
Experience of working in the NHS particularly in a Mental Health setting.
Ability to use one's own initiative and seek guidance where necessary.
Previous receptionist and office admin experience.
Experience of dealing with a range of people over the phone and face to face.
