Part Time Position



Working every other weekend (14 hours)



Horses and Ponies Protection Association, Burnley, Lancashire, is looking for an outgoing individual to deliver friendly, efficient customer service and to create a warm welcome for visitors to the Charity's Shores Hey Farm in Briercliffe, Burnley BB10 3QU.

This is an exciting opportunity for anybody passionate about customer service, retail, equine welfare and who enjoys interacting with members of the public. The key responsibilities for the position are to facilitate the best possible visitor experience and efficiently deal with all customer enquiries. You will be the person that creates the first and lasting impression for all visitors to the Farm.

The successful candidate will be responsible for meeting and greeting members of the public, processing payments for entry, events and activities, answering and responding to telephone calls and emails, responsible for the administration of the Charity's Membership Scheme, and supporting fundraising initiatives. Competency in using IT software and previous experience of navigating a database will all be beneficial to the post.

OVERALL PURPOSE OF JOB



To deliver friendly, efficient customer service and create a warm welcome for our visitors. The key aims being retaining and attracting new visitors, facilitating the best possible visitor experience and efficiently dealing with all enquiries. To endorse the Charity's mission and values.

The ability to communicate confidently and work closely and supportively with other colleagues and on own.

PRINCIPAL RESPONSIBILITIES



Delivering excellent customer service at all times. Meeting and greeting members of the public and professionals. Signposting visitors around the site, giving information about HAPPA and Shores Hey Farm; including use of facilities. Taking bookings/ payments in person or over the phone. Answering the telephone and forwarding calls to the relevant person or taking messages. Process payments and be responsible for reception daily takings including cashing up. Responsibility for HAPPA Memberships including uploading payments, dealing with membership enquiries, processing renewals, maintaining memberships through the Customer Relationship Management System (Etapestry). Keeping the reception area clean and tidy and keeping literature up to date. Maintaining the Classroom & Book Room areas including the cleaning of. Servicing the Activity Room including the cleaning of. Health and Safety duties including daily checks of responsible areas to ensure stakeholder safety and supporting the Charity's Health and Safety Audits. Using the HAPPA CRM to update, add or amend customer data, upload orders and service weekly staff newsletter. Dealing with all enquiries in a professional and courteous manner whether in person, on the telephone or via e-mail. Keep up to date with current promotions to be able to signpost all stakeholders. Where possible promote the satisfaction and safety of all visitors. Manage and diffuse any complaint situation in a professional manner. To liaise and communicate effectively within the team as well as with stakeholders. Maintain confidentiality through organisational policy. Adhere to organisational policies and procedures. Attend training, workshops and meetings as requested. Any other duties as requested that are deemed appropriate to this position.
