Role Overview



Meet and greet visitors to Head Office and inform relevant department promptly and efficiently, offering refreshments to people who are waiting to be seen. Operate Head Office switchboard in a professional and efficient manner, distributing calls to relevant parties, and take detailed messages where the person is not available to take the call. Make sure all messages and emails received via Reception reach the relevant person/department in a timely manner. Ensure customer complaints are passed quickly to the correct person to deal with. Keep reception, waiting room and surrounding areas neat and tidy and ensure magazines are up to date. Process daily incoming post, packages and internal mail and distribute accordingly. Frank all outgoing mail from Head Office and take to the post box at the end of each shift. Type any correspondence required, as necessary. Responsible for ordering stationary for Head Office departments. Order cash and carry supplies when necessary. Liaise with drivers coming into Head Office from various branches to have cheques signed by Directors. Provide holiday cover when necessary. Assistance with any other task as required.
