Hours:
37.5 hours per week, Monday - Saturday Weekdays: A mixture of 8am - 4pm, 9am - 5pm & 10am - 6pm Saturdays: 8am - 5pm One in every third Saturday (get a day off in the week)
Pay Banding:
Band 2 - Weekdays: 12.51 per hour Saturdays: 17.64 per hour

The postholder must have the following experience:
Administrative experience

General Duties
Provide an efficient and comprehensive administration and reception service to the Medical Day Unit.
Be an initial point of contact within the unit providing appropriate responses and onward directions to all callers in a courteous manner.
Ensure the unit maintains high standards of office organisation.
Maintain an effective filing and retrieval system, ensuring that outstanding issues are monitored and resolved.
Input and update data on the computer system in an accurate and timely manner.
Check and amend patient demographics to ensure accurate data is on hand at all times.
Maintain IT systems to accurately reflect correct patient data, activity and outcomes.
Request, track and transport patient notes in line with protocols.
Refer site management issues and complaint callers onto the appropriate department.
Collect, sort and prioritise incoming mail.
Deal with any correspondence as appropriate to provide professional and timely communication links between patient/relatives and medical/clinical staff and ensure channels of communication are efficient and effective at all times.
Answer the telephone in a courteous and timely manner. Deal with enquiries, take messages accurately and give information and advice (not medical) to GPs, patients, relatives and other staff in a manner responsive to customer needs and in accordance with Trust procedures.
Provide flexible cover and support according to the needs of the unit.
Arrange and follow up transport for patients requiring admission/discharge.
Report and follow up faulty equipment and ward repairs.
Be aware of Health and Safety regulations within the ward environment.
Maintain patient confidentiality in line with Trust policies.
Manage own workload and expectations but also work as a team to support the administration team as a whole.
Wait List Management
Ensure referrals/appointments are made accurately to the correct list, once prioritised. Referrals should be booked under the correct Clinician speciality, site and booked in chronological order.
Effectively use our hospital systems for the purpose of extracting, amending, up-dating and in-putting data to ensure that referrals are added to the list for the relevant specialty on the correct site and GP in a timely manner.
Book and organise appointments for patients.
Ensure upon discharge that patients requiring follow up appointments have been provided with this.
Keep track of patients who fail to attend their appointments to ensure they are not lost in the system and avoid unnecessary delays.
