Overall Purpose of The Job




To provide administration and clerical support to the V Group team and ensure all callers are dealt with professionally and visitors are briefed according to Group standards and guidance.

To work with a broad range of internal and external stakeholders, providing the highest level of office administration and professional administrative support.



Key Responsibilities and Tasks




Reception:

Answering all incoming telephone calls in a professional manner and re-directing them as required.

Greeting all visitors in a professional manner and delivering Visitors Policy/Safety briefing to all visiting the office.

Ensure reception area & meeting rooms are presentable at all times.

Managing meeting room logistics, including sending calendar bookings and arranging equipment / catering / refreshments as required.

Organisation of in-house lunches.

Maintaining visitors listing and distributing accordingly.

Signing for deliveries as required.

Allocating car parking spaces on daily basis, and issuing permits as required.

Distributing incoming e-mails.

Booking taxis as required and maintaining taxi log.

Maintaining internal telephone list and distributing as required.

Maintaining internal office staff e-mail listing.



Administration:

Typing and sending of e-mails and general correspondence as required.

Fleet administration duties including, but not limited to, collating Superintendents' out of office time, vessel Letters of Instruction, staff visa & travel guarantee letters.

Maintaining fleet organisation charts.

You will be expected to carry out any other duties that may reasonably be required in line with your main duties.
