We are seeking a highly organised and personable Receptionist to join our dynamic team in our Hillsborough Head Office. The ideal candidate will be the first point of contact for visitors and people engaging with the business. You should be comfortable handling a high volume of phone calls and assisting with incoming and outgoing mail and deliveries, along with providing essential administrative support. This role is crucial in maintaining the smooth operation of our office, whilst ensuring that all visitors and staff receive exceptional customer service.



Key Responsibilities:





Provide a professional and courteous welcome to visitors, ensuring that they are directed to the appropriate person or department. Answer, screen, and forward incoming phone calls while providing basic information when needed. Monitor and distribute incoming company emails to appropriate person Assist with production of reports and documents to an acceptable standard Maintain visitor logs, issue visitor badges where appropriate, and ensure all visitors are aware of and comply with company policies. Receive, sort, and distribute daily mail and deliveries including dealing with couriers at reception Maintain a tidy and presentable reception area, ensuring reading material is up to date and relevant (e.g., brochures, forms etc.) Assist with scheduling and coordinating meeting rooms. Monitor and manage access to the building, ensuring all security protocols are followed. Undertake general administrative support. Assist with switchboard support when required.

This job description is intended to give the post holder an appreciation of the role envisaged for the Receptionist and the range of duties to be undertaken.

It does not attempt to detail every activity. Specific tasks and objectives will be agreed with the post holder at regular intervals.




Person Specification




Essential




Proven experience as a Receptionist, preferably in a large fast paced organisation. Clear understanding of office management responsibilities, systems, and procedures. Demonstrate solid team working abilities. Strong communication and interpersonal skills in order to build strong relationships with Senior Management/Directors and the wider workforce. Proficient in Microsoft Office Suite (Word, Excel, Outlook) Able to multitask and prioritise tasks in a fast-paced environment.
