Willow Practice has an exciting new vacancy for a part-time (20-25 hours/week) receptionist / administrator to join our dynamic admin team!
NHS or reception/customer service experience is preferable but not necessary, however the ideal candidate must be familiar with the role of primary care / GPs in the NHS.
Good IT and computer skills are essential for this position.
Key responsibilities and duties include:
Answering calls
Triaging appointment requests and booking appointments appropriately for patients
Handling incoming telephone calls to the surgery
Processing repeat prescriptions according to practice policy
Scanning and processing medical documents through SystmOne (clinical system)
Completing tasks set by the practice manager and the doctors / clinicians
Opening and closing front doors in line with opening times
Greeting patients kindly and courteously
Working as part of a team collaboratively with other team members
Provide administrative support to members of the primary healthcare team to ensure appropriate Practice records are kept up to date.
Computer data entry/data allocation and collation; processing and recording information in accordance with Practice procedures
Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter
Preparing the surgery, waiting area, consulting rooms in preparation for clinics
Main duties of the job

You must be a friendly, courteous people-person as this role primarily involves handling patient queries and have a strong work-ethic and resolve to help provide excellent patient care, in line with our practice vision.
We are based in Hounslow TW3 and serve just over 7000 patients.
Applicants must be flexible and able to work 5 hour shifts that start at 8am or finish at 6.30pm (shifts vary by day)
Monday to Friday. Weekly rotas are produced that indicate which shifts have been allocated the following week. Applicants need to be available to have shifts allocated to them between 8am-7pm Monday to Friday.

In the performance of the duties outlined in this , the post-holder may have access to confidential information relating to patients and their carers, Practice staff and other healthcare workers. They may also have access to information relating to the Practice as a business organisation. All such information from any source is to be regarded as strictly confidential
Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorized persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data

The post-holder will assist in promoting and maintaining their own and others' health, safety and security as defined in the Practice Health & Safety Policy, to include:
Using personal security systems within the workplace according to Practice guidelines
Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
Making effective use of training to update knowledge and skills
Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
Reporting potential risks identified
