Job Overview:
As the
Receptionist
at EMCAS, you will play a pivotal role in supporting the coordination and management teams, ensuring smooth office operations, and facilitating clear communication between various departments. Your primary duties will involve answering calls, relaying information to the appropriate coordinators and management, and performing administrative tasks to assist with the delivery of high-quality care. Your role will be vital in ensuring that our team operates efficiently and continues to provide exceptional service to our clients.
Key Responsibilities:
Answering Calls and Managing Communication:
Handle incoming calls, direct inquiries to the appropriate coordinators and management, and take clear messages when necessary.
Data Entry and Administrative Support:
Assist with updating and maintaining databases, spreadsheets, and client records in line with company policies.
Recruitment Support:
Assist with the recruitment process for Care Workers, including scheduling interviews and coordinating with the Quality Manager.
Document Management:
Maintain files for both clients and staff.
Meeting Support:
Take minutes during office-based meetings, ensuring accurate and timely documentation.
General Office Duties:
Assist with day-to-day office tasks, including handling emails, messages, and other administrative responsibilities as required.
Collaboration and Flexibility:
Work closely with the coordinators and management team to ensure efficient service delivery and take on additional responsibilities as needed to support office operations.
Skills and Qualifications:
Experience:
A minimum of 1 year of Receptionist experience is preferred. A background in healthcare or experience working with healthcare professionals is highly desirable.
Technical Proficiency:
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, and Mail).
Communication Skills:
Excellent written and verbal communication skills.
Organisational Skills:
Strong ability to plan, organise, and prioritise workload.
Adaptability:
Flexible, adaptable, and able to work well under pressure.
Customer Service:
Friendly and confident, with a customer-centric approach to both internal and external communication.
Team Player:
Able to work both independently and collaboratively as part of a dynamic team.
Desirable:
Safer recruiting training and experience with DBS applications is a plus.
