About You;
You will have 1-2 years of previous reception or customer/public-facing experience, with excellent communication and interpersonal skills. Your friendly and approachable manner will ensure that clients feel welcome and well-supported, both face-to-face and during phone calls.
Job Overview:
We are seeking to recruit a full time Office Receptionist. This role will be based onsite primarily in our Newtownards office with possible occasional coverage at our Bangor office.
Key Responsibilities:
Act as the first impression to meet and greet all visitors, providing refreshments as required
Answer telephone calls promptly, dealing with queries including providing and following up on estimates, recording, and passing on messages as appropriate.
Coordinate staff calendars and room bookings utilising MS Outlook and Teams.
Managing incoming post, including opening, scanning, and ensuring GDPR compliance.
.Process outgoing mail, including franking and delivery to the local post office.
. Handle card payments at reception and make daily deposits when required.
Communicate and collaborate effectively with Legal Secretaries and other staff to ensure smooth business operations.
Perform a range of administrative support across departments as required.
Skills:
Excellent communication skills, with a strong ability to engage effectively both in person and over the phone.
Thrives in fast-paced environments, demonstrating flexibility and the ability to meet tight deadlines.
Strong interpersonal skills, with a talent for building positive relationships with clients and across all levels of an organisation.
Adaptable and professional, with experience engaging with diverse groups of people.
Highly organised, with strong administrative skills and a keen eye for accuracy.
Proficient in Microsoft Office Suite, including MS Teams, Outlook, Word, Excel, and PowerPoint.
Essential Criteria:
Educated to GCSE standard or the equivalent including English and Maths is desirable
At least 1 years' experience in a Reception role or a similar role or customer/public-facing experience
IT proficient with a working knowledge of Microsoft Office and/or Teams.
Confident dealing with incoming and outgoing phone calls
Strong people and communication skills.
