As our Veterinary Receptionist, you'll be the friendly face and voice that welcomes our clients and their pets to the clinic. From booking appointments to answering questions, you'll help create a warm, supportive experience for everyone who walks through our doors or calls us. You will be the first point of call for our clients, and responsible for keeping the clinic running smoothly while making pets and their owners feel genuinely cared for.
What You'll Be Doing
Welcoming Clients & Pets
Greet clients and their pets with a smile and help them feel comfortable and at ease.
Answer questions, help with appointments, and support patient admissions in a calm and friendly way.
Offer advice on over-the-counter medications, nutrition and preventive care products when appropriate.
Appointments & Scheduling
Book and manage appointments using our practice management system.
Work closely with the veterinary team to keep the day flowing smoothly and ensure each patient and client gets the time and care they need.
Send reminders and follow up with clients when needed.
Day-to-Day Admin
Keep client and patient records accurate and up to date.
Process payments and invoices and help with general admin tasks.
Keep track of stock like medications, food and supplements and place orders as required.
Keeping our front-of-house area clean and welcoming is part of the role, including daily hoovering, mopping, and cleaning up the occasional little accident.
Help with filing, scanning, general office admin tasks and keeping everything organised behind the scenes.
Supporting & Educating Clients
Share helpful information with clients about their pet's health, nutrition, and preventive care.
Work alongside the clinical team to keep clients in the loop and ensure they have received test results, treatment plans, and what they know what to do next.
Listen to client concerns and know when to pass things on to the clinical team or escalate to management as appropriate.
There will be times when you're supporting clients through emotional situations such as euthanasia, accidents, and emergencies, so being caring, understanding, and adaptable is important.
What We're Looking For
Experience in customer service is must, experience in a veterinary reception role is a plus, but not essential.
A friendly, confident communicator who enjoys helping people.
Someone organised, a multitasker who is comfortable juggling a busy front desk.
Good computer skills essential; experience with veterinary software is a bonus but not required.
A genuine love for customer service and an interest in animals is essential.
