What you will be doing
Key responsibilities include:
Provide a welcoming and well maintained Reception environment
Handle all in-coming and out-going mail and booking couriers
First point of contact for all site visitors including operating the delivery gate, directing deliveries, issuing security passes and informing staff of their visitors arrival.
Liaising with volunteers.
Passing on calls and emails to the relevant member of staff or dealing with the call or email as appropriate.
Manage the Grange accommodation and meeting room calendar
Responsible for the booking of on-site accommodation for staff and recipients and organising weekly cleaning schedule
Ensuring Barn area is checked and cleared at the end of the week
Ordering all stationery and office consumables and any other items required for the Grange offices
General administration duties as required. This may include supporting the Front of House and other managers directly with day to day administration work and facilities/maintenance/H&S matters.
Any other duties as directed by your immediate manager or their representative.
Desired candidate
Excellent interpersonal skills, facilitating excellent communication between staff, visitors and guests.
Ability to work independently with minimum supervision.
Ability to work as part of a team.
Experience of working in a receptionist role or administration based role where there has been some contact with the public.
Ability to work under pressure.
Excellent computer literacy with knowledge of word processing, databases, spreadsheets and the internet.
A willingness to learn about the work of the charity and whenever possible promote our aims and objectives.
