We're excited to offer a temporary opportunity for a Receptionist/Secretary to join our friendly team, covering maternity leave for one of our valued colleagues. This role is set to begin on Monday 27th October and will last for 9 months.
As part of our busy practice, you will play a key role in delivering high-quality patient care by providing efficient and compassionate administrative support. Duties
:
The duties and responsibilities to be undertaken by members of the Practice administration team may include any or all the items in the following list. Duties may be varied from time to time under the direction of the Operations /Practice Manager, dependent on current and evolving Practice workload and staffing levels:
Maintaining and monitoring the Practice appointments system on SystmOne.
Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional.
Taking messages and passing on information
Filing/Scanning and retrieving paperwork
Processing repeats prescriptions in accordance with Practice guidelines
Computer data entry/data allocation and collation; processing and recording information in accordance with Practice procedures
Initiating contact with and responding to requests from patients, other team members and associated healthcare agencies and providers
Clearing and re-stocking consulting rooms as required
Providing clerical assistance as required including word/data processing, filing, photocopying and scanning
Monitoring of stationery/clinical room and other supplies
Accepting and documenting samples from patients
Assisting secretary with typing referrals and other documentation when required
Supporting when patients or clinical staff request a chaperone
Assisting with spot cleaning of the premises as and when required to ensure that all patient areas are presentable throughout the day
Ensuring building security, closing doors, windows and shutters at the end of the day.

In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately
In the performance of the duties outlined in this job description, the post-holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential
Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data
Health & safety:
The post-holder will assist in promoting and maintaining their own and others health, safety and security as defined in the practice health & safety policy, the practice health & safety manual, and the practice infection control policy and published procedures. This will include:
Using personal security systems within the workplace according to practice guidelines
Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
Making effective use of training to update knowledge and skills
Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
Actively reporting of health and safety hazards and infection hazards immediately when recognised
Keeping own work areas and general/patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holders role
Undertaking periodic infection control training (minimum annually)
Reporting potential risks identified
Demonstrate due regard for safeguarding and promoting the welfare of children.
Practice trauma informed care with all patients and colleagues that you come into contact with, following the practices policy

Training:
The post-holder will participate in any training programme implemented by the Practice as part of this employment. This will include paid mandatory training such as safeguarding, fire safety and manual handling through our online training provider Bluestream which will be carried out prior to commencing the role.
Annual basic life support training will also be provided at the practice.
Person Specification
Essential Qualifications-:
Maths and English GCSE- A to C (or equivalent) Excellent Customer Service Skills
Excellent Communication Skills
Job Specification
The successful candidate will have and be able to demonstrate:
Excellent customer service skills. Previous NHS GP Practice experience is desirable but not essential; We are looking for the right person to join our dedicated team
Friendly and approachable manner;
Experience of working in a team;
Good telephone manner;
Professionalism;
A can do attitude;
Adept in using own initiative when working alone;
Experience of working in a busy environment;
The ability to multitask and prioritise effectively whilst staying calm under pressure;

Computer literate. SystmOne and Accurx familiarity is desirable but training will be provided.
